About this file

This is a Request for Proposal (RFP) issued by the Genesee Intermediate School District (GISD) for the procurement of multifunction printers (MFPs). GISD seeks pricing for 11 Ricoh or equivalent MFPs to replace a portion of its existing fleet, with responses due by August 18, 2026 at 2:00 PM. The RFP requests equipment pricing only, though vendors may optionally include installation costs. Specific printer models and speed specifications are detailed in Attachment B1. Vendors are permitted to propose alternative printer models that meet or exceed the speed requirements outlined in the RFP.

Pricing submissions must include line item costs for each printer with estimated shipping charges, licensing costs for current and alternative software releases with applicable discounts for volume purchases and multi-pack licensing, and any available upgrade licensing or annual licensing fees. Vendors should note any applicable catalog discounts on the bid form and may provide supplemental spreadsheets with discounted pricing. Optional services pricing should include hourly installation costs with drive time calculations, separated into 4-hour and 8-hour installation scenarios, with the understanding that district technicians will handle system naming and server configuration. No information regarding set-asides, incumbent vendors, contract term, or renewal options is specified in this attachment.
