About this file
This document is a Request for Quotation (RFQ) for preventative maintenance services on fire suppression systems in two commercial kitchens at the U.S. Embassy in Windhoek, Namibia. The firm fixed-price contract is for a base year with four optional one-year extension periods, covering bi-annual maintenance services for the Embassy cafeteria and Marine Security Guard Residence (MSGR) kitchens. Services include comprehensive cleaning and inspection of kitchen equipment, exhaust and ventilation systems, refrigeration units, fire safety equipment, and other critical kitchen infrastructure, with a performance standard limiting customer complaints to no more than one per month.
The solicitation requires contractors to provide trained technicians, necessary equipment, and documentation, with services to be performed on Fridays to minimize kitchen disruption. Contractors must submit detailed technical and commercial proposals including company profiles, references, key personnel information, strategic plans, and financial resources. The evaluation will be based on lowest price, acceptable, and responsible offeror, with mandatory registration in the System for Award Management (SAM). The contractor will be responsible for all aspects of quality control, and the government will monitor performance through a Quality Assurance and Surveillance Plan (QASP).
