Q: Could you provide more details on the existing digital infrastructure and any specific integration requirements for the new software solutions with existing school systems beyond Google domain sync?
A: No additional integration requirements outside of those described in the RFP documents are necessary.
Q: What are the school's primary software applications and operating systems used across the different devices (Windows, Mac, Chrome OS)?
A: Users will primarily interact with the copiers using Google Docs, Office suite (Word, excel, etc), Adobe products, and web browsers. Our primary operating system is MacOS.
ChromeOS and Windows get light usage.
Q: Are there specific customization or scalability requirements for the print management software to accommodate future growth or changes in the school's operational needs?
A: Outside of the requirements specified in RFP documents no additional concessions are required. We expect some growth in the future.
Q: Could you detail your top priorities for document and data security within the print management system?
A: Our top priority is for user documents to be protected and held securely at the print stations until their arrival.
Q: Given the preference for cloud-based hosting mentioned, could you elaborate on the expected volume and nature of print jobs to better understand the cloud services needed?
A: Please see the RFP documentation for expected volumes. Print jobs are primarily lesson plans and other teaching materials.
Q: How does the school envision managing user permissions and access controls, especially considering the diverse user group including staff and students?
A: Printing is restricted to staff only. The intention is to use pin-code and key card as print release options for staff. We are happy to consider the possibility of student printing in the future, however it is not currently a priority.
Q: Are there any specific environmental or sustainability goals that the new software solutions should support, such as reducing paper waste or energy consumption?
A: Reduction in waste and energy consumption is valuable, however there are no sustainability or environmental goals as a requirement for submission.
Q: What level of detail and frequency are required for usage analytics and reporting to monitor and optimize print services?
A: We have a need to know the quantity of usage of each individual user. Outside of this, additional reporting functionality could add value however would not be a requirement.
Q: How does the school plan to address software updates and future-proofing to ensure the print management system remains effective and secure over time?
A: Our preference is for the vendor to provide software updates, automatically, to the devices and print server as they become available. Automatic regular updates of client print software would be a preference.
Q: Could you clarify the desired balance between cost-efficiency and operational effectiveness for the print management system?
A: Please see the grading rubric in the RFP documentation. We have a high priority on cost however reliability, repairs, and customer service makes up a large portion of the final grade.
Q: Does your staff currently use an ID badge to authenticate on your devices? If so, what type of badge.
A: We currently use 26 bit Wiegand cards for print release on the Canon machine, and will use these same cards at the time of copier installation. In the future we would like the option to upgrade to a higher security key card. Please include the formats supported by your card reader in bid. Staff does not currently release print jobs using phones, though we would value this option in the future.
Q: Are you requesting the awarded vendor handle the logistics of removing the old equipment or should we assume to also cover shipping costs of returning the equipment for NCA?
A: Yes. Please include the logistics and shipping of the old equipment as part of your response.
