About this file

This document is a Request for Proposal (RFP) issued by Northwest Classical Academy (NCA), a public school located in Kennesaw, Georgia, to solicit proposals for leasing and servicing office reproduction equipment (print/copy/scan) for a 36-month term beginning July 2024. NCA requires a variety of multifunction machines, including high-volume black and white, mid-volume color, and low-volume small/medium office machines, with specific technical and service requirements. The RFP outlines the equipment to be leased, including current machines to be replaced, and the required services and supplies to be included in the contract. Proposals are due by April 18, 2024, and the contract will be awarded based on factors such as total annual spend, equipment quality and reliability, installation and repair capabilities, vendor experience, and financial stability.

The RFP includes estimated annual page volumes for black and white and color printing, with the option to incorporate annual minimums into the lease. Pricing is requested for both included volumes and overages. The selected vendor must provide delivery, installation, training, and ongoing service and maintenance, with a preference for all supplies and delivery costs to be included in the contract. The RFP also requires the vendor to demonstrate financial stability, relevant experience, and commitment to the Kennesaw area.
