REQUEST FOR PROPOSAL UPDATE #1
FOR
OFFICE REPRODUCTION EQUIPMENT, LEASE, AND SERVICE
NORTHWEST CLASSICAL ACADEMY
KENNESAW, GEORGIA
Regarding printers in locations 5, 6, and 7 (Back Office B&W, HR Office B&W, Enrollment Office B&W):
Q: Are there any machines currently in locations 5, 6, and 7?
A: Machines in these locations are currently school owned desktop printers without management & service contracts. We are seeking proposals to replace them with managed desktop-class machines.
Q: Do machines in location 5, 6, and 7 need to be able to secure print release from a program like PaperCut MF?
A: Secure print and release on these devices would be nice to have. If doing so requires additional cost, please outline the extra cost as an optional all-on.
Q: Do any of the devices in locations 5, 6, and 7 need to have wireless capability?
A: The desktop-class machines require wireless capability.
Q: The RFP suggests “desktop-Class” machines. Does this mean these units will be sitting on tables? Is this request due to lack of space?
A: The preference for these devices is for them to sit on desks. These are low usage machines that primarily reside within peoples offices.
Regarding the Canon iR-ADV 6860:
Q: Would you be able to provide all the contract details for the Canon iR-ADV 6860 for replacement consideration?
A: Lease expires July 2027. If assumption of lease is a consideration, provide an allowance up to a dollar amount. Additional details will be provided upon acceptance of a proposal.
Q: Is service included in the current lease for the Canon iR-ADV 6860?
A: Yes, the Canon is under a service agreement included in the lease.
Other Questions and Answers:
Q: Do you need fax capability?
A: We do not need fax capability.
Q: Is SMTP relay through Google email servers for scan to email sufficient?
A: SMTP Authentication to Google servers is sufficient, no 2FA is required.
Q: Please clarify the need for directory sync with Google?
A: The preference is that the address book is directly synced with our google domain such that when a user is added, or deleted, from our domain they are automatically updated within the address book. This could be a feature of the print management software, or the printer itself.
Q: Are we presently using PaperCut?
A: We are not using PaperCut.
Q: Are we affiliated with any purchasing partner groups?
A: We have membership with OMNIA.
Q: Will PaperCut (or other print management software) be installed on a server?
A: We have a preference for cloud-based hosting, however are open to options. Please bid out the installation option that you believe will work best given our environment.
Q: Do we need “Card readers” for the machines?
A: Yes. The ability to release print jobs with cards is a required feature.
Q: Are we open to different term lengths (eg. 24 month or 39 month?)
A: Please provide a quote for a 36 month term. If you have different terms that you believe might be more competitive, you may include them as an option.
