Digitization of Photos and Drawings

1. We would like to schedule an on-site visit as required by your SOW to view your materials.

A site visit will be conducted at NMUSN on July 13, 2023 at 10:00 AM EST.

Vendors planning on attending the site visit must email Trumeka King at trumeka.c.king.civ@us.navy.mil by July 10th at 3:00pm EST. The email should include the names of attendees (no more than two per company), email addresses, and phone numbers. Site visit instructions will be provided at this time.

The site visit is for vendors to see the site detailed in the PWS. Vendors may not ask questions pertaining to the solicitation of the museum staff, all questions will be sent via email to Trumeka King at the email detailed in the aforementioned paragraph. Any questions submitted will be answered formally through a solicitation amendment.

2. Can the documents be scanned off site or do you need a dedicated scanning station at the Navy Yard?

Yes, they can be scanned off-site.

3. The item c. 8X10 media. Can you elaborate on the type of media? Are the 5,500 Accessioning files photographic film negatives, positive film PR photographic reflective prints? Can you provide a cellphone picture of the media?

The accessioned files are no larger than 8 x 11 images. They are mixture of positive glossy prints, 3 x 5 negatives, drug store photographs, polaroid’s, positive film sheets.

4. Item d. Projector Slides. Are these positive or negative film sheets or 25mm mounted slides? Can you provide a cellphone picture of the media?

The slide projectors (up in the exhibit workspace) are positive. These would need to be scanned separately than the accessioned photographs, and just placed in numerical order from 1 to the end. The photo curator will later accession these into the accessioned file.

5. The drawings and prints in items a. and b. require a large format scanner. The media in items c., d., and e. will require a separate photographic scanning system. Moving these systems onsite to the Navy Yard location for the relatively small quantities will be a costly endeavor. Since we are a local service bureau in Frederick, MD, would you consider allowing the media to go offsite in reasonably sized batches instead of onsite at the Navy Yard?

Yes, the media can be moved offsite; some has been previously scanned in Flicker. See uploaded photo attachments. These examples show what work has to be done as these were photographed by camera.

All of this material can be completed on a standard flatbed scanner, using adapters for the film and negatives.

6. Item b. rolled up graphic designs/building prints. What are the approximate sizes of the rolled up graphics?

The sizes of the rolled up prints are 40" x 45" at the most.

mailto:trumeka.c.king.civ@us.navy.mil

7. Item f. All files scanned at 300dpi at what size. Same size as the original? So a 30x45 original scanned at 300dpi at the 30x45 size would be a 350mb file. Our pricing is determined by the final size of the file created, not the size of the original.

These items do not have to be scanned by scale. 12,000 (width) and 10,000 (height) should be good enough, and those come out to be about 15 to 20 MB each
