About this file
This document provides mandatory onsite visit guidance for vendors interested in a contract opportunity with the Illinois Department of Human Services (IDHS) at the Elgin Mental Health Center. Vendors must allow adequate time for security screening, follow social distancing guidelines, and submit to temperature checks and health questions at the designated checkpoint. Face masks and shields are required while on the Center's grounds. Vendors denied access due to these requirements will be allowed one opportunity to reschedule the mandatory conference within two business days. Failure to attend, arrive on time, or sign the attendance sheet will result in the vendor being considered non-responsive and disqualified from the bidding process. The bid due date and time may be adjusted, so vendors are instructed to monitor the BidBuy website for updates.
The document outlines specific protocols and requirements vendors must follow to participate in the mandatory onsite visit at the Elgin Mental Health Center. These include health screenings, social distancing, and the use of face coverings. Failure to comply with these guidelines may result in a vendor being denied access and disqualified from the bidding process. Vendors are advised to monitor the BidBuy website for any changes to the bid due date or time.

MANDATORY ONSITE VISIT GUIDANCE FOR VENDORS:
1. Vendors must allow adequate time prior to the conference to allow for proper screening of all people coming onto the property.
2. All vendors must follow social distancing guidelines-- Stay at least 6 feet (about 2 arms’ length) from other people and do not gather in groups
3. All vendors will be required to get their temperature taken at the check point, as designated by each Center.
Center Checkpoint is: Lobby of the Forensic Treatment Building. Vendors with a temperature more than 100.0 degrees will not be admitted.
4. All Vendors will be asked a series of questions about their health. If the vendor displays any symptoms on the checklist, the vendor will not be allowed entry to the Center.
5. All vendors must wear a face mask (KN95) and a face shield, which will be furnished to them upon arrival. Vendors may choose to wear their own mask or face shield. If vendors opt to bring their own, the mask must cover their nose and mouth and fit under their chin; the shield must cover the nose down to the chin. Vendor must wear the face mask and shield while on Center's grounds. Face shields provided by the Center are required to be returned to the checkpoint upon leaving the Center.
In the event vendor is denied access due to any of the above reasons, IDHS will allow vendor one opportunity to reschedule the mandatory conference in the next 2 business days with a different representative. This alternate date will only be made available to vendors who were present at the first vendor conference but not permitted to participate by IDHS.
Bidder(current contract vendor included) will be disqualified and considered non-responsive if Bidder does not attend, is not on time, leaves early or fails to sign the attendance sheet. Bidder must allow adequate time to accommodate security screenings at the site.
Please continue to monitor BidBuy as the Bid Due date and time may be adjusted.
