About this file

This document is an Addendum to Invitation to Bid (ITB) No. FDVA-ITB-24-001B issued by the Florida Department of Veterans' Affairs (FDVA) for an Agency-Wide Timekeeping System. The solicitation requires a web-hosted timekeeping system with integrated payroll-based journal reporting, including a service bureau and user module, as well as monthly web hosting services for the FDVA's Headquarters, Largo office, and nine Veterans' Homes across Florida. The system must support staffing levels, time management, payroll management, timekeeping, leave accruals, advanced scheduling, and integration with Florida's People First system. The desired go-live date is before June 30, 2024, and the contract term is three years with a three-year renewal option.

Regarding pricing, the FDVA requires a total of two spare timeclocks to be stored at a central facility. The system must be compatible with People First but will not replace it, instead facilitating data exchange. No third-party payroll system integration is required, and the agency is not seeking a separate payroll system. The FDVA also utilizes the Matrixcare EMR system, which the selected timekeeping system must integrate with.
