Solicitation No: HU000115Q0467 Title: Metal Shelving for LRC with Removal and Installation

Site Visit Questions and Answers

Metal Shelving Questions

1. Can you please confirm the dimensions for the shelves required for each level? (Width, diameter, and height requirements including weight capacity per level)

Height Width Shelf Depth Unit Depth Min. Shelves/Unit Weight Capacity

2nd Floor 84” 36” 10” 22” 12 150 lbs

3rd Floor 90” 36” 12” 26” 14 150 lbs

2. Will the contractor be responsible for the removal of the books/materials currently on the shelves to be replaced? Will it also be responsible for repositioning the materials on the new shelves as required? Yes, the contractor is responsible for removing the materials currently on the shelves, replacing the shelves, and then placing the materials on the new shelves. The materials should be positioned so that each shelf is 90% full. The LRC will provide a map that describes the location for periodicals, the history collection, and the history collection.

3. It appears the shelving unit height requirement for the second floor is 78”. Our standard height is 84” or above; would this be acceptable? Yes.

4. Is this an open market purchase? Yes.

5. Overall depth of cantilever shelving includes the depth of the cantilever frame plus the depth of the shelves. For example, a double face unit with 12” actual depth shelves would have a depth of 24” (12” x 2 for the shelves) plus 2” for the depth of the cantilever frame for an overall depth of 26”. For single face with an actual 12” deep shelf the overall depth would be 14”. See the table above. The overall unit depth may be wider by 1” per side than the shelf depth.

6. If you went with 11” actual depth shelves the overall depth of double face units would be 24’ and 13” for single face units. If you wanted an overall depth of 12” for the single face units, you would need to use a 10” actual depth shelf plus the 2” frame. The dimensions described above are typical for all brands of cantilever shelving, including the Estey shelving mentioned in the scope of work.

The 12” shelves will be used only on the third floor. They may have a 26” base depth. The 10” shelves will be used on the second floor. They may have a 22” overall depth. There are no single face units required for this project.

7. What do you want for the overall depth of the single face units? N/A -- No single-faced units

8. What do you want for the overall depth of the double face units? See chart above.

9. What is the shelf width? Your current units are 36” wide. See chart above.

10. Are new bookends required with the shelving? No. The LRC will reuse existing bookends.

11. The Statement of Work, Introduction, A. Background Information states: “Materials not moved will be stored on-site by the contractor in a space designated by the LRC, preserving the original sequence of titles”. Does the LRC require an e-file spreadsheet or other method detailing the contents of each packed container? No, as long as the materials are put back on the shelves correctly.

12. Some shelves and some books show various levels of dust and dirt, specifically upper shelves – is the contractor required to clean shelved material before moving/packing? No.

13. The scope asks for steel end panels. During the site visit, different panels were mentioned. Provide details of the face panels? The second floor end panels should be wood end panels with raised design and a finished look. The panels should be finished with catalyzed lacquer finish to resist scrapes, stains and UV discoloration. Panels may add 1” to the overall shelving height and depth. The LRC requests a Light or Natural Oak finish similar to Demco item WF20550200. 34 end panels (i.e. 17 pairs) will be required on the second floor. For third floor shelves, the 90" high, 24" deep steel end panel in the standard style is requested. 10 end panels (i.e. 5 pairs) are estimated to be required for the third floor.

Wooden Shelving Questions

14. Is part of the scope to haul away and dispose of the existing wooden shelving? Or where does it go? Yes, all shelving should be removed from USU and recycled appropriately by the vendor. The only exception is 14 single-faced wooden shelving units which will be marked. The marked shelves should be disassembled and set aside. USU Facilities will retrieve these units and reposition them with the University.

15. Is there an exact count of the number and type of 3rd floor shelving units that will need to be moved to another location at USUHS or somewhere on the NMMC Campus? Will these units need to be reassembled once moved? All double-faced shelving units will be removed from USUHS entirely for disposal. 14 single faced units will be disassembled and set aside for USU facilities to retrieve and reposition elsewhere in the University.

16. How far is the offsite location where all the disassembled wooden shelving will be displaced from the LRC? See above.

Dumpster Questions

17. Who provides the dumpster? The vendor provides the dumpster. There are no restrictions on the size of the dumpster placed in the E-building driveway.

18. Can we use a truck in place of the dumpster and haul away each day? Yes, a truck would be a completely satisfactory substitute for a dumpster.

19. Will the ground floor door be available for use? The ground floor should be used only to access the loading dock for loading/unloading shelving.

20. Can we park in the Building E driveway? Yes. The driveway is the best place to park the dumpster/truck or other equipment. There is a pathway to the driveway accessible from the side door of Building D (i.e. the LRC’s building).

21. Can the area where the dumpsters will be placed be restricted or roped off so that others will not use that area as a passageway? No, unless a chute is built. Except for brief periods of time when there is activity going on, the University would like to maintain a pedestrian thoroughfare in this area. If a chute is approved and constructed, the area must be blocked to pedestrian traffic for safety reasons. If materials are carted through Building D’s side doors, the dumpster should not prevent pedestrian traffic.

22. Can we have a dedicated slot in the loading dock during times of scheduled move activity? A loading dock slip may be reserved for scheduled times and days. These times must be scheduled at least a week in advance. Contact information for scheduling will be provided upon award of this purchase order.

23. Are there usage restrictions associated with the loading dock? Specific times of day, size of trucks, etc? No usage restrictions besides scheduling in advanced as noted above.

24. The site visit notes said a shoot would be built pending approval. Is the shoot something USUHS will build or if we choose that route something we need to build? The contractor will be responsible for building a chute. The chute must be approved by EHS (Environmental Health & Occupational Safety) and the contractor will need to submit a safety plan and drawing to EHS for consideration prior to approval. If a chute is used the area must be blocked off to pedestrian traffic.

Elevator Questions

25. Will we have sole use of an elevator? Since there is only one elevator in the LRC, it will need to be available to LRC patrons and staff. However, if the work is done in the evening, very few patrons will be in the LRC using said elevator.

26. Will it be possible for the successful contractor to have exclusive use of the elevator during times of scheduled move activity? (See above)

27. Will it be possible to move items down the elevator to the first floor and exit the building using the double doors in the lobby. Those doors lead to a path on the side of the building that in turn leads to the area where we were advised a trash chute and dumpsters could be placed. Yes. This is completely acceptable.

28. Will protection materials need to be provided for the interior of the elevator cab? Yes, the contractor should protect the walls of the elevator. Please note, there are no hooks in the elevator for hanging moving blankets. The contractor does not need to remove protective materials each night, and may leave the blankets up so long as there is work being performed daily.

Other questions (Miscellaneous)

29. Who is responsible for the book mapping for placement on new shelving? The LRC

30. Will floor and wall protection coverings be required for all areas where material is being moved?

No

31. Will safety markers (cones, tape, barricades, etc.) be required for all areas where material is being moved? Yes
