Questions and Answers Regarding RFTOP 0001 (Lecture Hall and Auditorium Upgrades):

Question (Q): Are there delivery restrictions for RFTOP 0001 (Lecture Hall and Auditorium Upgrades)? (question about installation more than delivery) Answer (A): Rooms open up mid to late June, on a rotating schedule. It is recommended the selected contractor purchase equipment ahead of time and have lecterns and equipment ready for installation as the rooms are available. The selected contractor will not be able to ship the equipment to USU due to space restrictions.

Q: What are the available work hours after normal business hours? Evenings/Weekends?

A: Those are largely based on meeting security requirements. I do not have a problem with someone wanting to work after duty hours.

Q: Will the selected contractor be required to have an escort during performance?

A: No.

Q: Is there a posted class schedule?

A: Yes, but it is always changing. Our goal is to provide you as much time as possible.

Q: Will base maintenance perform any requested power, pathway or circuit work requested prior to AV installation?

A: That will depend on how much is required and why the changes have to occur from current available power and pathways.

Q: Is the source code classified, will it be provided?

A: It will be provided to the awardee.

Q: Was the previous source code question referring to AMX-RMS?

A: Yes

Q: Is there a GFE list?

A: Yes, it will be provided. Need to accommodate for cable TV access upgrade into room.

Q: What are the desks for in the back?

A: Rooms A, B & C had slide projectors in the back at one time; they are not used for anything at this time.

Q: Are there any functionality required at the rear lecture halls and auditorium?

A: No.

Q: Is there a conduit from the rear of the lecture halls and auditorium to the front?

A: Yes.

Q: Are there AV drawings?

A: Yes. They will be provided to the awardee.

Q: Will any of the systems operate at a classified level?

A: No current VTC are classified, nor is it USU’s intent to do any classified broadcasting.

Q: Will we be provided floor plans?

A: Floor plans will be provided to the awardee.

Q: Are control systems integrated with lighting controls?

A: Yes.

Q: Is the lighting system used a Lutron lighting system?

A: Yes

Q: Are the curtains integrated with the control system?

A: No.

Q: Where are VTC units located?

A: Only in lecture hall C and Sanford Auditorium. They are not networked, there is no bridge, and we are not planning to get a bridge anytime soon.

Q: Is there AV sharing? Will each room only be limited to local control or can each room pull A/V from other rooms?

A: Local cable TV channel allows for some use of Blackboard, this is the extent of any sharing

Q: Will there be some type of “Master Control” to control A/V for all rooms?

A: There is a current RMS (remote management system) with which installed equipment needs to communicate. Existing code will be available for this process.

Q: Will student microphones be wireless? Are they handheld or stand?

A: Should be wireless. We have both lavaliers and cone microphones for handheld/stand purposes.

Q: Is there ceiling access in the lecture halls? A cat walk?

A: Yes, and we’ve used scaffolding in the past. There are places to walk above the ceiling though the space is cramped.

Q: Currently are there any student drops? (network drops) A: Not in the seats, only in the racks.

Q: Are the theater lights hooked into the touch panel controls?

A: The theatre lights are hooked into 1 or 2 scenes, the rest are in wall panels. The control panel in the auditorium contains only 4 scene options, not individual lights.

Q: Are there requirements for the media lecterns? Specific wood type?

A: Only requirements are that they be professional, useful for the faculty, hold the equipment and present well.

Q: Does all of the equipment have to fit in the lecterns?

A: Anything with controls that the faculty will need should be there, we do not want them to have to turn their backs to the class to work controls, and they need to be in front of them as a “workable teaching surface”. Otherwise, we are looking to you to provide us a good solution to the lectern / rack issue.

Q: Can cords come up through the floor?

A: In lecture halls yes, there are hollow platforms, but the Sanford Auditorium has poured concrete floors

Q: Can workstation be mobile or is our preference for stationary?

A: They don’t need to move, but some mobility would be fine

Q: HD Camera integration, are these for HD video teleconferencing?

A: Required for the source, but may not necessarily be used for teleconferencing.

Q: Will there be audio conferencing?

A: Audio conferencing is handled by phone, DCO, or existing VTC equipment.

Q: What is the preference for Codecs…IP or ISDN or both?

A: Both would be preferable but willing to discuss options with chosen vendor.

Q: Will any storage space be provided to the contractor to store tools, cables, etc?

A: Storage space will be made available to store tools, cables, etc. Storage space will not be unlimited.

General Questions Regarding Solicitation:

Q: Is there a tentative schedule for the issuance of the remaining task orders in this RFP?

A: No.

Q: Is there an incumbent contractor who has previously provided these services? If yes, could you please provide the contractor, contract number, award date and value?

A: The MATOC IDIQ is a new initiative for USU to meet our AV and simulation needs. In the past each requirement was competed and awarded separately. GS schedule was used to meet most of our AV and simulation needs.
