About this file

This is a Questions and Answers (Q&A) document from a federal contract opportunity addressing contractor inquiries regarding facility maintenance and equipment services.

The Government clarified three key requirements in response to contractor questions. First, regarding replacement filters for existing equipment, the Government does not have manufacturer, model, or part numbers available but provided filter quantities and dimensions for pricing purposes: twelve filters at 7 5/8" x 15.2" x 2", twelve at 11.5" x 15.2" x 2", eleven at 7 5/8" x 19.5" x 2", and eighteen at 11.5" x 19.5" x 2". Offerors must provide filters compatible with existing equipment per PWS Section 3.2.6. The air scrubber (Smog Hog) system is excluded from this requirement. Second, ceiling manual wipe down is limited to surface cleaning only, requiring removal of grease and contaminants from ceiling surfaces. Sealing, refinishing, painting, or restoration work is outside contract scope and will be performed separately by Government personnel or under a distinct maintenance effort. Third, the contractor must coordinate and schedule all semi-annual hood system deep cleaning maintenance with the Government's in-house maintenance staff, aligning these services with the facility's semi-annual fire inspection to minimize operational downtime and system shutdowns.

# Question Government Response 1 Can you please provide the replacement filters description or part number for the equipment listed in the PWS that were replaced during the last contract year? We are particularly interested in the air scrubber filter package. But a good idea of the model and part numbers needed will help us get you an accurate number. If you don’t have that information, would it be possible to gather a list of what exactly is being asked to replace?

The Government does not have the manufacturer, model numbers, or part numbers for the existing replacement filters.

Based on available records, the following filter quantities and dimensions are provided for pricing purposes:

Quantity| Filter Size 12| 7 5/8" x 15.2" x 2" 12| 11.5" x 15.2" x 2" 11| 7 5/8" x 19.5" x 2" 18| 11.5" x 19.5" x 2"

Offerors shall provide replacement filters that are compatible with the existing equipment in accordance with PWS Section 3.2.6.

The air scrubber (Smog Hog) system is excluded from the scope of this requirement, and replacement filters associated with that system are not required.

2 Is ceiling manual wipe down used loosely to describe the intended work? Attached are some photos of a really bad ceiling that we brought back. For hard ceilings we use an alkaline foaming cleaner that clings to overhead surfaces. We scrub and follow up with a water rinse and hand dry on sheetrock ceilings. After that we blow in sealer and matching finish as needed to cover any left over staining. Once the ceiling is clean we open all the light fixtures, we drop the light frames and lenses, clean and finally apply finish as required. In the last two photos you can get a pretty clear picture of conditions before and after. Is the intent of this scope to get your ceiling looking brand new and keep it that way?

The contractor shall remove grease and contaminants from the ceiling surfaces as part of the required cleaning services. This requirement is limited to surface cleaning. Sealing, refinishing, painting, or similar restoration work is outside the scope of this contract and will be performed by Government personnel or under a separate maintenance/project effort.

3 What service months are the hood system deep cleans currently scheduled on?

The Contractor shall coordinate and schedule all semi-annual maintenance with the Government's in-house maintenance staff.

To minimize operational downtime and multiple system shutdowns, the semi-annual maintenance shall be aligned and performed concurrently with the facility's semi-annual fire inspection.
