About this file

This is a Request for Proposal (RFP) issued by the Genesee Intermediate School District (GISD) for a Workflow Solution capable of digitizing paper-based workflows, forms, and approvals in compliance with FERPA and HIPAA standards. The GISD, which serves 997 staff members, 661 contracted staff, and 1,288 students, is seeking vendors to provide a comprehensive workflow management platform. Responses are due by March 25, 2026, at 12:00 PM EST. The solution must be scalable to support the specified user base and available to any schools within Genesee County. The pricing must remain valid through July 31, 2028, with vendors having the option to honor RFP pricing through July 31, 2031.

Vendors must provide transparent, itemized pricing that clearly breaks down costs for licensing, implementation, training, and support without hidden fees, with pricing stated per staff member or per student. The RFP requires vendors to demonstrate annual licensing costs for unlimited form creation and submission, tiered pricing models if applicable, and multi-year pricing guarantees or discounts. Key functional requirements include a drag-and-drop workflow builder with conditional logic, automated routing based on user roles, e-signature support, mobile-responsive forms, and multi-level approvals. Integration requirements specify Single Sign-On (SSO) support for Google Workspace and Azure AD, API availability for custom integrations, and support for multiple file formats. Security and compliance requirements mandate data encryption, audit trails, granular permissions management, SOC 2 and ISO 27001 certifications, and disaster recovery plans. Vendors must also provide detailed information on implementation timelines, onboarding and training options, support SLAs, WCAG 2.1 AA or higher accessibility compliance, and references from K-12 districts or ISDs, with Michigan experience preferred.
