About this file
This document is a Workflow Solution RFP attachment for Genesee ISD (GISD), containing frequently asked questions and answers related to the procurement of a workflow automation system. GISD seeks to replace its current paper-based workflows and Power Automate solution with a comprehensive workflow platform serving approximately 997 employees across the district. The solution must support multiple processes including invoicing, purchasing, and conference request forms with role-based access controls through a centralized login dashboard. The district anticipates presenting the Board of Education with the evaluation results and award recommendation shortly after vendor demonstrations, with implementation beginning in April following board approval and project go-live targeted for as soon as possible thereafter. Technology department staff will participate in both the evaluation and implementation teams, and GISD will provide front-line support with vendor escalation only as needed for a small administrative group.
The vendor will be selected using a numeric scoring methodology based on requirements outlined in the RFP's Attachment A, which includes specific disqualification criteria for non-compliance. The workflow solution must accommodate a user base of 997 employees with varying access levels, with the majority submitting requests and a smaller subset serving as approvers and reviewers. The solution will replace existing legacy systems currently used across all 13 departments within the district and will feature role-based permissions ensuring employees only access relevant workflows, such as restricting teacher access to invoicing processes. GISD operates with 1,288 students and requires the new system to provide dashboard visibility into pending workflows, approval status, and in-process requests.

Workflow Solution RFP Attachment B Part II Possible Questions & Answers:
1. Can we get a few examples workflows?
o Yes, see examples below.
2. Few examples of processes that GISD wants to automate?
o Invoicing, Purchasing, Conference request form.
3. What information do you want to provide to the stakeholders? Dashboard?
o For the dashboard, we are thinking about having 1 central login, perms to be based on what individuals have access to. Teachers for example would not need invoicing so that would be hidden.
o Landing page would show what workflows the employee has access too; however, admins can see what the pending workflows are to send follow ups. Also show the employees what is in process, whether it’s been approved or not.
4. Sense of how many stakeholders would be using this?
o We have 997 GISD employees, they might not need all access, but majority will be using the workflows to submit. Much less number that would be approvers/reviewers.
5. Expectations of vendor supporting?
o GISD will provide front-line support, small group of admins would then reach out to vendor if needed.
6. When does GISD expect to make an award and/or complete contracting with the selected vendor?
o We anticipate it will be taken to the Board of Education shortly after evaluation and demonstrations.
7. When does GISD anticipate beginning project implementation?
o We anticipate starting shortly after the Board of Education awards the bid in April.
8. When does GISD anticipate going live with the new solution?
o As soon as possible after bid awarding.
9. How many students attend GISD?
o GISD has 1288 students
10. Will IT be involved in this purchase, and if not, what level of involvement does IT assume for the project?
o Technology will be part of the evaluation team and implementation team.
11. What solution(s) are currently in use that the new solution would be replacing (please include versions)?
o Currently utilizing paper workflows and Power Automate.
12. Which department(s) are using the current solution(s)?
o All
13. How will GISD score/rank submitted proposals?
o Using a numeric scoring method based on requirements as outlined in Attachment A of the RFP.
14. Are there any requirements that if not met will result in automatic disqualification?
o Please see Attachment A of the RFP
