About this file

This is a Fuel Index Reconciliation Worksheet for Salt Deliveries used by the Missouri Department of Transportation (MoDOT) in connection with a statewide sodium chloride replenishment contract. The worksheet serves as a monthly adjustment mechanism to account for fluctuations in fuel costs that impact the delivery and handling of salt. Contractors must complete designated cells to calculate the monthly fuel index adjustment factor by comparing the starting fuel index established at contract inception with the current monthly fuel index published by MoDOT. The contract period extends from the Notice of Contract Award through April 30, 2027, and applies to deliveries of both regular and treated sodium chloride across Missouri.

The fuel adjustment calculation is based on a straightforward methodology: the difference between the starting and monthly fuel indices is multiplied by the tonnage delivered in each month, with adjustments made in $0.10 increments following standard rounding rules. If fuel prices increase or decrease by $0.10 per gallon, the salt price adjusts by $0.10 per ton accordingly. Contractors must identify the starting fuel index from the Price Adjustment for Fuel attachment included in their bid contract and obtain the monthly fuel index from MoDOT's bid opening information website. The worksheet contains embedded formulas to automatically calculate the fuel adjustment amount once the required data fields are populated, ensuring consistent and transparent pricing adjustments throughout the contract term. Bidders interested in submitting hard copy bids must contact the buyer of record, Nanci.Grannemann@modot.mo.gov, at least five business days before the bid closing deadline.

Sheet1 Fuel Index Reconciliation Worksheet For Salt Deliveries

Instructions - Please complete the cells highlighted in yellow. Do not make changes to any other cells on the spreadsheet as it contains formulas to make the calculations.

To compute the Monthly Fuel Index Adjustment Factor:

The "Starting Fuel Index" for this contract was:0.00(Example 2.47)
The "Monthly Fuel Index" (for this order):0.00(Example 2.77)
1. The "Starting Fuel Index" is located on the attachment Price Adjustment for Fuel.
2. The "Monthly Fuel Index" is the month the deliveries were made. The "Monthly Fuel Index" is located on the Fuel Index found here:
https://www.modot.org/bid-opening-info
3. The "Monthly Fuel Index" is subtracted from the "Starting Fuel Index" to determine the Monthly Fuel Index Adjustment.

Monthly Fuel Adjustment Factor 0.00

Amount of Adjustment:

Amount of Adjustment (rounded $0.10 increment):
0.00(Example 0.50)
1. The Amount of Adjustment is the rounded amount of the Monthly Fuel Adjustment Factor above.
2. If the price of fuel increases or decreases $0.10 per gallon, the price of salt will increase or decrease $0.10 per ton accordingly. Adjustments will be made in $0.10 increments.

3. Normal rounding rules will apply. Example: An increase of $0.50-$0.54 would round to $0.50. An increase of $0.55-$0.59 would round to $0.60, Etc.

Tons Delivered

Tons Delievered: 0 (Example 70)

1. The fuel adjustment should be calculated seperately for the actual tonnage delivered in each month.

The fuel adjustment amount is automatically calculated using the factors above.
