About this file

This document is a Questions and Answers (Q&A) record for a Request for Quotation (RFQ) regarding the procurement and installation of a double-sided LED marquee sign system. The Q&A clarifies significant scope modifications from the original solicitation, including confirmation that no demolition of the existing structure is required, and that no new brick monument is needed—the existing foundation and anchor-bolt system is intended for reuse. The required deliverable is a Vantage 10MM Double-sided LED display (120 x 240 Matrix) or an equivalent product meeting the technical specifications outlined in Section 3.0 of the Statement of Work (SOW).

Key project specifications include installation of the LED display with integration to existing electrical infrastructure (240V service, approximately 200 feet from the marquee); provision of a software/Content Management System (CMS) solution enabling remote sign updates from chapel computers; and a four-year warranty with 72-hour on-site response requirements throughout the warranty period. Project milestones are measured from the contract award date, with delivery required by December 31, 2026. The contract terms include no progress invoicing—payment occurs only upon final delivery and acceptance—and a four-year warranty covering all on-site labor and travel at no additional cost. Award will be made to the offeror that meets all solicitation requirements and terms and conditions with the lowest price. Electronic bid submissions are required via email to the designated Points of Contact (Kevin Hinman and Jessica Cobb), and alternate manufacturers are permitted provided they meet technical specifications. The SOW has been updated to reflect the scope clarifications addressed in this Q&A.

1. It is noted in 2.1 Demolition and Disposal that the existing cabinets and concrete foundation should be removed. Item 2.3 Wind Load states an engineered drawing is required for the new sign. We will have to remove the existing structure including concrete and brick to qualify for any structural drawings. Drawings cannot be issued for an existing structure since we do not know have any information on the structure itself, how deep is the foundation etc. All of the above is fine but the last item 7.3 Price
