About this file

This is a Questions and Answers document regarding audio/visual equipment and support services for an event at The Falls Church Marriot Fairview Park in February 2025. The event requires AV setup for both a general session with 350 attendees (Monday-Thursday AM) and six simultaneous breakout sessions (Thursday PM-Friday).

The general session requires three medium projectors with 7x10 screens displaying identical content, plus wireless and lapel microphones. The breakout rooms have varying configurations (U-shape, classroom, rounds) with capacities ranging from 17-105 attendees, each requiring separate projectors and laptops for different content. Only the largest breakout room (105 people) requires a sound system and microphones. The government will provide laptops, and the venue will provide podiums without branding. The contractor won't be responsible for electricity charges or internet provision (no live streaming required), but should plan for power distribution solutions. Setup is scheduled for February 23, 2025. The hotel has a preferred AV vendor but does not require a buyout fee for using outside vendors.
