Questions and Answers, Solicitation FA5570-20-Q-0016 – Amendment 03
Question 1: Please confirm the dates of the event. In the solicitation the dates read "31 July - 2 August" but the [Statement of Work] reads "7 August - 9 August".
Answer 1: The desired dates for the initial (year) of the retreats is 31 July – 2 August 2020. The SOW is intended to be reused for each successful year of the event. As such, references to fixed dates e.g. “7 to 9 August” have been removed, and replaced with the ordinal weekend of the month e.g. “last” or “first”.
Q2: Please confirm that the location must be within the London metropolitan area.
A2: The event must be within the London metropolitan area. There is no specified radius, however if the post code for the location is not listed on any chart which contains post codes for the Greater London area, that location is not considered within the London metropolitan area.
Update: Amendment 03: The London metropolitan area restriction has been removed. Venues located within a two-hour driving radius of post code GL7 4DQ will be considered.
Q2: Does the Government require the venue [hotel] or the planning for the event [to include the venue]?
A2: This is the first time the Government has such a requirement at this location. Currently, the Government only requires the location, lodging, catering, and optional childcare. The Government may foresee the need to have the event planned in the future. As such, offerors may include event planning as a separate line item, in accordance with FAR provision 52.204-22, Alternative Line Item Proposal.
Q3: How many easels does the Government wish the offeror to provide and should easels be provided with markers, erasers, paper, or other related supplies for their use?
A3: The Government would prefer one dry-erase type easel, however there is no specified amount, provided the Offeror can ensure enough writing supplies for all attendees.
