About this file

This document appears to be a question and answer session related to a federal contract opportunity for the maintenance and repair of appliances located across 11 facilities. The key details are:

The contract will cover the maintenance and repair of various appliance brands including Maytag, Frigidaire, Roper, Speed Queen, and Whirlpool, which are dispersed throughout 11 facilities. The previous incumbent contractor had availability issues that caused delays in completing work tasks. The agency will not provide a site visit, and the appliances will be brought to the designated location for any necessary maintenance or repair. The agency clarifies that only washers, dryers, refrigerators, and mini-refrigerators will require preventative maintenance, despite the bid schedule indicating otherwise. The agency currently does not have a maintenance contractor and has been replacing broken appliances themselves. The agency will determine when an appliance is beyond repair and require the contractor to make that assessment. The agency will pay for any appliance replacements.

1. Do you have the brand names of the appliances?

A: Maytag, Frigidaire, Roper (A Whirlpool Corporation), Speed Queen, Whirlpool.

2. How is the incumbent contractor from the last award?

A: The contractor from the last award had their good and not so good experiences working with our section. Our biggest issue was their lack of availability, causing us to have multiple work task not closed or even looked at for months which caused a strain on our customers.

2A. Were you and the agency happy with the work and performance of the incumbent contractor of the last award?

A: We as the customer had an indifference with the previous incumbent contractor. Most of that indifference was based on timely completion of work tasks provided to them, their availability/non-availability was an issue we had to deal with constantly which lead to residents having to wait for their appliance to be fixed for up to months on more than one occasion.

3. Will the appliances be brought to the location where the contract will need to perform the preventative maintenance?

A: Yes, the appliances be brought the designated location. Depending on the necessity, we also have some appliances on sight that the contractor could use.

4. In section 2.2 of the Appliance MX and Repair BPA file it states, Refrigerators/mini refrigerators, dishwashers, cooktops and ranges, and stove tops w/ ovens will not require any preventative maintenance., but in the Bid schedule under CLNE 0003 it asks for those same appliances to be priced under preventative maintenance? Which is correct?

A: The original statement is correct, the items listed will not require any preventative maintenance. We would only call the contractor when we would need emergency/scheduled repairs for Washers/Dryers, Refrigerators/Mini Refrigerators as necessary.

5. Please provide maintenance/repair history for the appliances in solicitation

A: Maintenance history is in combined attachment above. Tab 1.

6. Who is providing maintenance/repair presently?

A: The previous contractor providing maintenance was a company called “Patriot Air”.

Presently we have no company providing maintenance or repair. If there have been washers or dryers broken or not working for a long period of time, the Dorm Management team would replace them ourselves.

7. When and who determines that an appliance is beyond repair?

A: As the customer, we would initially inspect the item for any discrepancies. If it is beyond our scope of knowledge, or fixability we would then place a work order with the contractor to come and determine if the issue for said appliance is fixable or is beyond repair and needs to be replaced.

8. Who pays for replacement of appliance?

A: We do as the customer.

9. Are you scheduling a site visit?

A: There will be NO site visit

10. Any pics or model numbers on the items that will be serviced?
