About this file
This is a Questions and Answers document for federal contract opportunity FA460826QS016, addressing clarifications on retreat venue services.
The document clarifies pricing and scheduling requirements for government retreat events. Bidders are not required to offer all seven proposed dates; instead, they may bid on dates they can accommodate, provided events occur on weekends and the government retains flexibility to schedule at its leisure. Room and meal pricing should be quoted on a per-room/per-person basis rather than at government per diem rates, with meal counts calculated per plate. Events are expected to range from a minimum of 15 attendees to a maximum of 64 individuals. The government indicated it will not necessarily select every submitted date. For Saturday afternoon excursions mentioned in the Performance Work Statement, bidders may include these as optional add-on rates calculated per person rather than as mandatory inclusions in base pricing. All clarifications reference the Performance Work Statement section 4 regarding room configurations for couples with children requiring double beds, with the understanding that such accommodations will not cause meal counts to exceed the 64-person maximum.

Questions and Answers FA460826QS016 Attachment 3
Q1: If dates requested are not available are there other dates?
A1: We only chose dates because we were requested to add them. We prefer to be able to work the dates at our leisure, though they need to be on the weekend. We would NOT be choosing every date submitted.
Q2: Are guest room rates and food at Govt Per Deim?
A2: No. We are looking for a per-room/per-person rate quote if possible. Example: Some events may have 8 couples, some may have 64 individuals. 64 is the max we will have. I speculate 15 is the lowest.
A3: Yes. See A1.
Q4: Must I have all 7 dates to bid?
A4: No, A1.
Q5: The PWS states in #4 that Couples with children will require double beds. Will the meal count for these retreats be above 64 meals?
A5: No. See A2.
Q6: What meal count should we use for equal accurate pricing in the bid?
A6: Per plate would be best. See A2.
Q7: The PWS states including a potential Saturday afternoon excursion. Does this pricing need to be included?
A7: It can be included as a potential add-on rate per person. See A2.
