Vendor Questions

1. What is the timeline of the project?

a) Contractor will propose timeline for completion to account for lead times, delivery, travel, installation and any other factors that would affect the completion of this project.

2. Does the AV contractor need a low voltage permit?

a) No.

3. In the ballroom it calls for 10ea. lapel microphones & handheld microphones, do you want all 20 microphones working at the same time?

a) See updated SOW.

4. What manufacture makes speakers with built in microphones?

a) See updated SOW.

5. What is the quantity of stage, dance and spotlights needed?

a) No longer required. See updated SOW.

6. How do you want to control the stage lighting?

a) No longer required. See updated SOW.

7. Can the proposal due date be extended?

a) Please see amendment #0002 that extended the submission deadline to 13 Sep 2024 by

3:00 PM CDT.

8. In the Ballroom, are there extra inputs and outputs on the video matrix?

a) See Attachment 3 – Video Matrix.

9. Does the 2nd floor system hardware share the rack on the first floor?

a) The 1st floor has a rack for wireless mics, it communicates with the rack on the second floor.

10. Please provide ceiling height in all rooms.

a) BALLROOM: Current screen locations 13’ from floor. Projector mount 26’ from floor (pole extends from projector through drop ceiling). Current stage lighting mount 14’4” from floor, stage to lowest part of ceiling 10’9”, Stage to high point (drop ceiling) 11’9” Function Room: Projector mount 10’11”, Screen mount 9’11”

11. Please describe your requirement for “new lights for stage and dance floor with spotlight and dance lights”

a) Please see answer to #5

12. The existing ballroom has four projectors. The new one has two new screens (in a new location). Screens are not listed in the “equipment to be removed”. Please clarify the number of projectors and screens in the final configuration and the location of same. Are we to provide new projectors?

a) 1 new retractable screen and 1 new projector to be added to the ballroom. The 4 existing screens and projectors will stay. The new screen would be on the opposite wall of existing screens. See updated SOW.

13. The SOW describes the audio/video outputs of the system (audio: speakers, video: 2 projectors).

i. What are the inputs: I know about microphones (in the speakers) and cameras.

a) The inputs are HDMI

ii. There is a reference to 2 teams’ packages (are they the only “programs” sources? No Blu-ray? No media player? No computers that aren’t Teams? Where are the teams’ computer’s location in the rooms (in the racks?)

a) The Teams packages are the only programs required for this project

iii. Where does the music come from for the dance floor? (subwoofer?)

a) This is usually an outside source such as a DJ. Only dining room music is played through the built in speakers and is controlled via cell phone. iPad, Laptop.

14. Please describe the make/model of existing equipment and note the items to be retained and the items to be removed.

a) 6 Panasonic MZ 770 WUXGA projectors & all projector screens to be retained.

15. Is this a new contract or a renewal of an existing one?

a) New contract.

16. Is there currently an incumbent performing the work for this contract?

a) This a commodity therefore no.

17. Is there still an opportunity for my sub-contractor to schedule a site visit?

a) No.

18. Is this a one-time project? What is the timeframe for the project to be completed?

a) Yes. Please see answer to question #1.

19. Could you confirm if there is new wiring that needs to be installed and old wiring removed?

a) Old wiring will need to be removed, and new wiring will need to be installed. See updated SOW.
