About this file

Exhibit J is a mandatory fields documentation for the Colorado Promoting Safe and Stable Families (PSSF) Services program, detailing the data requirements for the CDEC Salesforce Database used by participating agencies. The document outlines the specific information that must be entered into the system across ten categories: new household accounts, contact records for primary caregivers and children, PSSF client cases, data system consent forms, CFSA 2.0 assessments, PSSF services documentation, goal setting, resource referrals, flex funding, and case closures. Required fields are designated with red asterisks and include demographic information such as names, birthdates, gender, race/ethnicity, Hispanic/Latinx status, tribal member status, and primary spoken language for both primary caregivers and at least one child in each household. Additional mandatory data elements include case start dates, evaluation dates, service provision dates, goal names, and assessment types, with options for respondents to decline or select "Unknown" for sensitive demographic questions.

The document emphasizes that while the system identifies specific mandatory fields, best practice guidance recommends completing as much information as possible to maximize the utility of the database. Fields and their mandatory designations may change with system updates, and all data must be verified for accuracy and completeness. Supporting documentation, including signed data system consent forms and assessment forms, must be maintained as backup records. The Salesforce system automatically populates certain fields such as household, site, county, and supervisor information based on initial entries, streamlining data entry processes for case workers managing intensive case management or families receiving six or more hours of services within a three-month period.
