About this file

This file is a Seasonal Task Matrix exhibit for irrigation system maintenance and service at Austin State Hospital in Texas. The document outlines the vendor's required irrigation maintenance activities organized by four seasonal periods throughout the calendar year. The scope of work encompasses routine inspections and maintenance of controllers, dripline and bubblers, valves and boxes, and backflow assemblies, with frequencies ranging from weekly inspections to monthly audits and annual comprehensive evaluations. Additional requirements include servicing all 11 interior courtyards under escort during approved weekday hours (Monday-Friday, 8 AM-3 PM) with strict protocols for tool and debris removal. Each seasonal period—Spring (March-May), Summer (June-August), Fall (September-November), and Winter (December-February)—requires specific programming adjustments and task priorities aligned with seasonal irrigation demands and environmental conditions. The vendor must submit comprehensive seasonal reports at the conclusion of each period documenting flushing activities, controller adjustments, repairs performed, and overall system condition findings.

The maintenance activities are calibrated to address seasonal variations in irrigation demands and environmental stressors, including freeze-related damage preparation and response during winter months. Winter duties include full-system inspections, pressure testing, and decoder/electrical evaluations conducted annually, with enhanced protective measures for exposed backflow assemblies and freeze-event response protocols. The matrix establishes consistent weekly inspection protocols across all seasons for valves and boxes, while dripline and bubbler maintenance includes flush procedures in spring and fall to prevent clogging and performance degradation. Backflow assembly inspections occur monthly with annual testing coordination requirements and seasonal condition verification to ensure compliance with applicable regulations and system reliability throughout the year.
