About this file
This is a Service Agreement template for Event Planning and Management Services between the State of Texas, acting through the Texas Department of Information Resources (DIR), and a successful respondent contractor. The agreement outlines comprehensive event planning and management services including planning activities, event management (exhibitor coordination, site and venue coordination, event registration, speaker coordination, event materials, and event reporting), and marketing and communications. The contractor will be responsible for managing all aspects of event execution, from initial planning committee participation through post-event financial reporting. The agreement term runs from the date of contract award through August 31, 2024, with DIR retaining the option to extend the contract by up to three one-year renewal periods at its sole discretion, plus an additional extension of up to four calendar months or through December 31 of the then-ending agreement year.
Pricing is structured on a fixed-fee basis organized in three tables: one-day conference fees ranging from $/Net for events with 0-50 vendors to $/Net for events with 301-400 vendors, two-day conference fees with similar vendor-based pricing tiers, and design services billed at $___/Hour. The contractor bears responsibility for all event expenses including administrative costs, travel (subject to DIR travel reimbursement policies), registration, and other DIR-approved costs, with revenue from exhibitor fees offsetting expenses. The contractor must maintain separate accounting records for each event, provide weekly progress reports beginning one week after registration opens, submit detailed financial reports within thirty days of event conclusion, and invoice DIR within thirty days for any expenses not covered by exhibitor fees. Additional services beyond the scope may be requested in writing by DIR, requiring mutual agreement on work plans and firm-fixed pricing before proceeding.
