About this file
This is a solicitation document issued by the West Virginia Purchasing Division on behalf of the West Virginia Department of Agriculture for an open-end maintenance and repair contract. Vendors must demonstrate a minimum of five years of experience in inspecting, testing, repairing, and maintaining the specified equipment and must provide Yale training and/or certification documentation prior to contract award. The contract will be awarded to the vendor offering the lowest overall total cost and is intended to have a maximum contract value of $50,000, which includes all payments under the initial term, renewal terms, delivery orders, and change orders. No specific response deadline, due date, site visit requirements, bidder's conference, or award date is identified in this document. The contract term and renewal options are not specified.
Pricing for services will be based on an hourly labor rate for maintenance and repair work, with parts billed on a cost-plus basis using a vendor-designated multiplier. Vendors must complete a pricing page providing the hourly labor rate, estimated hours, parts cost estimates, and the multiplier to be applied to parts costs. All parts must be new and equal to or better than original manufacturer specifications, obtained from authorized suppliers. Vendors must obtain advance approval from the Agency before purchasing any single part exceeding $500. A minimum three-month warranty on all labor is required, and freight charges for parts are not permitted. The contract includes mandatory compliance with manufacturer recommendations and industry best practices, with all tools, equipment, and expendable materials supplied by the vendor at no cost to the Agency.
