About this file
This document is a Answers to Questions submission for Request for Information AHEC-27402-D, issued by Community College of Denver for professional moving services related to the Boulder Creek Health Science Center Project. The project involves relocating equipment, supplies, and materials from three existing buildings to the new Boulder Creek facility. The scope of work includes moving 24 offices with technology infrastructure, disconnecting and reconnecting monitors and mounting them on new monitor arms, relocating three medical walls for Phlebotomy/MA departments, moving large stainless-steel and small white refrigerators from Vet Tech, installing new sharps containers, and providing 64 totes for teachers to pack their offices. The original bid closing date was extended to October 12th to allow vendors time to obtain proposals from specialized third-party movers. The move timeline begins November 1st, though equipment will not be available until mid-to-late November, with all work required to be completed by January 8th, 2027. A mandatory bid walk was conducted, and vendor inquiries were submitted both by the deadline and during the walkthrough meeting.
Pricing shall be submitted as a lump sum for all equipment not requiring specialized movers, with medical equipment moved by third-party specialized movers submitted as a lump sum plus the vendor's markup. The project assumes $1,000,000 worth of existing equipment requiring valuation for insurance purposes. Vendors are responsible for obtaining quotes from GE HealthCare for disconnect and reconnect services on certain medical equipment, with contact information provided for Jorge Apodaca (Area Service Leader) and Scott Jacobsen (Imaging Account Manager). All insurance requirements are detailed in Appendix C of the bid document, and vendors must provide packing materials for all equipment and supplies they pack, while teachers are not required to use packing materials for their totes. Floor and building protection is required at the two older buildings. No permits are required, and there are no specified required or approved third-party vendors other than GE for certain medical equipment operations.

Answers to Questions Request for Information
AHEC-27402-D - Moving Services for Boulder Creek Health Science Center Project Community College of Denver
This document contains all questions submitted by the deadline specified and during the mandatory bid walk. Vendors’ inquiries are in black text and answers are in red text.
Q1. 3rd Party Specialized Medical Equipment- The move vendors might not receive proposals in time from the specialized movers for the medical equipment in time to submit their proposal. Can we extend the bid date or provide our pass-through mark up?
A1. We will extend the bid closing date to October 12th. If you still do not receive proposal in time, please provide an allowance.
Q2. Equipment- Most of the move is equipment. Do we need to provide a $ amount for each piece of equipment as shown in the RFP bid document?
A2. No, you can provide a lump sum for all the equipment that doesn’t need to be moved by a specialized mover. See updated equipment tracking log and updated Appendix E. Medical equipment that needs to be moved by a 3rd party medical mover can be a lump sum plus your markup.
Q3. What will be the technology requirement for the movers?
A3. We will move a total of 24 offices to Boulder Creek. Monitors will need to be disconnected and reconnected by the movers. Movers will also be responsible for taking monitors off the existing monitor arms and mounting on the new monitor arms in Boulder Creek. We will also move one large TV- disconnect/reconnect requirements needed, and we need to mount this in the new space. Finally, some medical equipment has technology associated with it. This will be noted in the updated equipment tracking log.
Q4. Will any existing Washer or Dryers need to move to the new building?
A4. No
Q5. How many totes should we provide for teachers to pack up their office and medical supply items?
A5. Teachers will only pack up their offices. The movers will be responsible for all the supplies for the departments. We will need a total of 64 totes for the teachers.
Q6. Will the Large stainless-steel Fridge in Vet Tech need to be relocated?
A6. Yes, we will provide a location on moving day.
Q7. Will the small white Fridge in Vet Tech need to be relocated?
A7. Yes, we will provide a location on moving day.
Q8. Will we need to move the bedside tables?
A8. No
Q9. Do we need to remove and reinstall the Sharps containers?
A9. No, we will have new sharps containers provided at the new building. These new sharps containers will need to be installed by the movers. Quantities in the updated equipment tracking log.
Q10. Will the med wall move?
A10. Yes, move 3 existing med walls for Phlebotomy/MA- See Updated Equipment tracking log. These will be removed from the wall, and installed by the movers in the new space.
Q11. The pricing table provided with the RFP appears to be asking for pricing to be provided on a per-piece basis rather than for the estimated total time & materials required. Can you confirm if a single lump sum bid price (+ markup for GE technical costs) is acceptable as discussed during the walkthrough, and if so, how it should be formatted?
A.11. Appendix E has been revised; you can provide a lump sum for all the equipment that doesn’t need to be moved by a specialized mover. See updated equipment tracking log and updated Exhibit E. Medical equipment that needs to be moved by a 3rd party medical mover can be a lump sum plus your markup.
Q12. Who is responsible for obtaining the quote from GE to disconnect & reconnect equipment and perform other technical services?
A12. The mover will be responsible for obtaining this quote from GE.
Q13. What is the total value of the items being relocated? The insurance requirements appear to be asking for us to provide full valuation protection / accept liability for the full value of all items, and we need a total valuation figure to calculate the costs associated with this.
A13. Assume $1,000,000 worth of existing equipment.
Q14. What are the permitted start and finish times at each building?
A14. November 1st, but the equipment won’t be available until mid-to-late November. We would like everything to be finished by January 8th, 2027.
Q15. Is there a specific building, rooms or areas you would like us to start with?
A15. No, we’re open to discussing logistics based on the mover’s expertise.
Q16. Is there a required sequence for completing the three buildings?
A16. No, we’re open to discussing logistics based on the mover’s expertise.
Q17. How many totes are needed for each building?
A17. We will need 64 totes delivered to the teachers to pack up their offices. The mover’s will now be required to pack up the supplies for each department.
Q18. Will all items be packed and ready for our crew by December 1, the first day of the move?
A18. Movers will be packing up all items except for the teacher’s offices. The teachers will need 64 totes, and they should be packed up by December 1st.
Q19. Will you require us to provide any packing materials?
A19. Yes, packing materials will be needed for the equipment and supplies the mover will pack up.
The teachers won’t need packing materials with their totes.
Q20. What insurance coverage or COI requirements do you have?
A20. All insurance requirements are specified in Appendix C of the Bid document.
Q21. Are there any required permits, background checks, or other documentation?
A21. No permits are required. Background checks and other documentation would be listed in the
RFP if required.
Q22. Please provide a complete list of all X-ray, medical, and other equipment requiring third-party services.
A22. Please see updated equipment tracking log.
Q23. For each item, please provide the make/model.
A23. This information is in the Construction Documents provided during the RFP release. See
Equipment Drawings A9.10- A9.16.
Q24. Who is the required or approved third-party vendor for disconnection and reassembly?
A24. This 3rd party vendor will be up to the move vendor. GE is the only vendor that is required, and they’re only required for certain equipment noted on the updated equipment tracking log.
Other than GE, there are no required third-party vendors.
Q25. Please provide their contact information so we can obtain pricing. We need these costs to accurately complete our estimate.
A25. Jorge would oversee the equipment move, and Scott Jacobsen is the Account Lead/Salesperson.
