About this file

This Addendum One document supplements the Invitation for Bids (IFB) for Anne Arundel Community College's Project No. C2027-05-B, which seeks authorized AudioCodes resellers to provide voice services and infrastructure enhancements for Microsoft Teams Phone. The project encompasses procurement of AudioCodes infrastructure, licensing, managed services, migration support, and integrated calling plan services. A technical pre-bid meeting was held on June 25, 2026, via Microsoft Teams with representatives from Anne Arundel Community College and AudioCodes in attendance. The question submission deadline is July 9, 2026, at 11:00 a.m. ET, with written questions directed to Heidi Frist, Senior Purchasing Agent at hmfrist@aacc.edu. Bids are due on July 30, 2026, at 11:00 a.m. EST via email submission, and contract award is tentatively scheduled for September 9, 2026. Evaluation is based on a 36-month total contract value, with the College intending to award to the lowest responsive and responsible bidder meeting all IFB requirements.

Contractors must submit pricing using the original Excel (.xlsx) format Exhibit A - Pricing Spreadsheet, with the Total Contract Price calculated in cell J104 matching the amount entered on Section 2.0 of the Contractor's Bid Pricing form. Freight and shipping costs may be included in the "Other" section (Item 13) of the pricing sheet. All bids must be submitted on IFB-provided forms and must be responsive to all required sections; conditional bids will not be accepted. Pricing should be exclusive of taxes where applicable, as the College maintains tax exemption status. The successful contractor must register with the College through Unimarket and maintain a valid SAM.gov registration. Contractors are advised that the College may require additional documentation regarding financial stability at any time during the procurement process. AudioCodes will perform implementation, integration, migration, managed services, and support functions, while the reseller handles procurement, pricing submission, invoicing, and endpoint devices.

5.0 QUESTIONS

5.1 Question: I noticed in the pricing sheet there is not a line item for freight or for shipping.

So, does that just need to be in a blended cost or do we need to, or can I add a line item for freight?

Answer: See Attachment One Revised Exhibit A – Pricing Spreadsheet dated 6/29/26, included with this Addendum One. Contractors may include any freight or shipping costs under the “Other” section (Item 13) of the pricing sheet.

Additionally, Contractors shall enter the Total Contract Price (36 Months) exactly as calculated in cell J104 of the revised Exhibit A – Pricing Spreadsheet on Section 2.0 Contractor’s Bid Pricing (Price Proposal) form. The amount entered on the Section

2.0 form must match the total shown in the Excel spreadsheet.
