About this file
This is Addendum #4 to solicitation BL038-23 issued by Gwinnett County Board of Commissioners for the removal, purchase, and installation of a file retrieval system. The project involves replacing existing vertical carousel units (lektrievers) at Gwinnett County Recorder's Court with new lateral filing systems designed for letter-size documents. The new units must accommodate at least eighteen carriers with 10-inch clear openings and fit within existing space constraints: two units measuring approximately 130 inches wide by 4 feet deep by 10 feet high, and two units measuring 102 inches wide by 4 feet deep by 10 feet high. Contractors are responsible for taking accurate measurements to ensure proper fit. The bid deadline has been rescheduled to 2:50 p.m. on Tuesday, June 13, 2023, with bids to be opened publicly at 3:00 p.m. the same day. Bidders must acknowledge this addendum on page 4R of the bid documents, or their bids may be deemed non-responsive.
The new lektrievers shall operate on 208-volt, three-phase, 60-hertz power, which differs from the existing 110-volt, single-phase system. Gwinnett County will coordinate the installation of the new power supply prior to equipment installation and will handle any necessary moving and replacement of overhead ceiling tiles to accommodate power feed to the units. Formal solicitation submissions must be received in physical form by the deadline; electronic submissions are not accepted. Firms on the Gwinnett County ineligible source list are prohibited from submitting bids during any period they remain debarred, suspended, or listed.

ADDENDUM #4
BL038-23, Removal, Purchase and Installation of a File Retrieval System
**PLEASE NOTE: THE BID DEADLINE FOR BL038-23 HAS BEEN RESCHEDULED FOR 2:50 P.M. ON TUESDAY, JUNE 13, 2023. BIDS SHALL BE OPENED PUBLICLY AT 3:00 P.M. ON JUNE 13, 2023**
CLARIFICATIONS:
C1. The file retrieval system shall be used for lateral filing. Gwinnett County Recorder’s Court uses letter size, not legal.
C2. The existing vertical carousel units each have eighteen (18) carriers, with each carrier having a 10 ¼” clear opening. The new vertical carousel units should have at least eighteen (18) carriers with 10 ¼” clear openings.
C3. The new lektrievers must fit within the space currently occupied by the existing units. Recorder’s Court currently has two units that are approximately 130” W x 4’ D x 10’ H and two units that are 102” W x 4’ D x 10’ H”. Contractors shall be responsible for taking accurate measurements to ensure that the new units will fit in the existing space.
QUESTIONS & ANSWERS:
Q1. The existing power is 110V/1ph/60Hz, are we to quote the same to prevent Gwinnett County from incurring the additional cost of a completely new power supply, disconnect, final connection, etc.?
A1. The new lektrievers shall be 208v/3ph. Gwinnett County will coordinate the installation of a new power supply prior to installation of the new Lektrievers.
Q2. Please confirm that the overhead ceiling tiles will need to be moved and replaced by Gwinnett County if required for power feed to the lektrievers.
A2. Gwinnett County Facilities Management will coordinate the moving and replacement of ceiling tiles.
This addendum should be acknowledged in the space provided on page 4R of the bid documents. Failure to do so may result in your bid being deemed non-responsive.
Thank you, Jake Scarpone
