Attachment 33 CAWO Electronic Programs Specifications for Interim and Final Deliverables September 23, 2021
I. Hard Drive Specifications
The contractor shall provide Interim and Final Deliverables for all Electronic Programs on hard drive unless otherwise specified in the Scope of Work. See Attachment 34: CAWO Table of Final Deliverables for Electronic Programs, Attachment 35: CAWO Electronic Programs Folder Structure, and Attachment 36: CAWO Electronic Programs File Naming Conventions for guidance on how to organize folders and files on these hard drives.
Hard drives shall meet the following requirements:
1. Industry standard USB 3, USB C, or faster connection.
2. Spinning-disk hard drives shall be 7200rpm (revolutions per minute) or higher.
3. Total space used shall not exceed 75% percent of drive capacity. (Example: a 10TB drive shall contain a maximum of 7.5TB of data)
4. All power and connector cords shall be included.
5. File systems:
A. Apple Hierarchical File System Plus (HFS+) for all Mac-formatted spinning hard drives B. Apple File System (APFS) for all Mac-formatted solid-state drives C. Microsoft New Technology File System (NTFS) for all Windows-formatted drives
6. Encryption is required on all hard drives.
A. Encryption software shall be approved by the COR prior to compiling the hard drives.
B. Mac-formatted drives shall be encrypted using FileVault.
C. Windows-formatted drives shall be encrypted using BitLocker.
7. Hard drives and packaging shall be physically labeled as follows:
A. Park alpha code (CAWO) B. AV number (see Attachment 34: CAWO Table of Final Deliverables for Electronic Programs) C. Drive sequence number (i.e., 1 of 3) D. Brief description of contents (organized by file structure guidelines—see Attachment 35: CAWO Electronic Programs Folder Structure)
II. Interim Deliverables
1. After each shoot, the contractor shall provide the following field documentation submittals and source materials on hard drive to the COR for review and approval:
A. Field Documentation
1. The approved Shooting Script and Filming Schedule
2. Transcriptions for any interviews or character dialogue
3. A minimum of five production stills and five behind-the-scenes photos for marketing materials. Photos shall be high resolution TIF or jpg, 300 dpi at 9” x 12” and cleared for all uses.
4. PDF scans of signed NPS release forms
5. Footage and audio logs, including:
a. date of filming
b. location of filming
c. description of scenes including any discrete scene numbers
d. camera(s) used
e. type of audio recorded
f. notes for syncing multi-camera shoots and separate audio recordings
g. other information pertinent to identifying the footage
h. Identification on anyone speaking on screen
i. thumbnails from each shot (using software such as Shotput Pro 6, TrueCheck, Foolcat, or equal)
B. Source Materials:
1. All original video files from all shoots in native camera file format. All files shall have unique file names, and the naming convention shall contain the park alpha code (CAWO).
2. Audio files both sync and wild in their native format 48K 16-bit.
3. Proxy files (produced synchronously in-camera or using a post-process) at 1080p resolution for playback using standard office software. Proxy files shall be “clean” with no burned-in timecode.
2. The contractor shall back up all Interim Deliverables on redundant hard drives after each shoot. A minimum of three redundant hard drives per shoot are required as follows:
A. Drive #1: Mac-formatted and encrypted per the specifications above. The contractor shall deliver this drive to the COR for review and approval no later than 20 business days after completion of each shoot.
B. Drive #2: Mac-formatted and encrypted per the specifications above. Identical to Drive #1. The contractor shall deliver this drive to the COR as part of the Final Deliverables package.
C. Drive #3: Windows-formatted and encrypted per the specifications above. Otherwise, identical to Drive #1. The contractor shall deliver this drive to the COR as part of the Final Deliverables package.
3. In addition to the hard drives provided to the COR, the contractor shall back up all digital files to a minimum of two physical locations and shall be responsible for the safety of all assets until the final deliverables are submitted and accepted.
III. Final Deliverables
1. The contractor shall provide Final Deliverables for all Electronic Programs on three redundant hard drives (or hard drive sets, if the required files will not fit onto a single drive) to the COR for review and approval.
A. Two of the hard drives shall be Mac-formatted and encrypted per the specifications above.
B. One of the hard drives shall be Windows-formatted and encrypted per the specifications above.
2. Final Deliverables shall be organized into folders as shown in Attachment 35: CAWO Electronic Programs Folder Structure. Each hard drive shall be divided into three main folders:
A. 01_FinalDeliverables B. 02_CompletionReport C. 03_Project Files
3. Each main folder shall contain multiple subfolders labeled and organized as shown in Attachment 34: CAWO Table of Final Deliverables for Electronic Programs and Attachment 35: CAWO Electronic Programs Folder Structure. Files within these folders shall follow the naming conventions referenced in Attachment 34: CAWO Table of Final Deliverables for Electronic Programs and Attachment 36: CAWO Electronic Programs File Naming Conventions.
