About this file

This is a Delivery and Installation Instructions attachment for an Informal Competitive Solicitation issued by the California Environmental Protection Agency (EPA) for vending machine procurement at its Sacramento headquarters (1001 "I" Street, Sacramento, CA 95814). The solicitation requests two frozen food vending machines, two beverage vending machines, and two classic chilled snack vending machines. The contractor must deliver and install three machines on the 5th floor and three machines on the 19th floor of the facility. All equipment must be newly manufactured, and delivery and installation must be completed within 35 calendar days after receipt of order (ARO), with scheduling coordinated a minimum of two weeks in advance. The contractor is responsible for coordinating with the Building Equipment and Control (BEC) team and Bureau of Equipment and Procurement (BEP) to arrange access to restricted areas, verify machine placement and configurations, and confirm security clearance requirements. Installation services must include testing to ensure proper working conditions, operator training on all features, and removal of all packing materials upon completion.

Delivery requirements mandate the use of a truck equipped with a lift-gate, with items delivered through the facility's loading bay in the presence of both BEC and the vendor. All vending machines must be leveled and banded together during installation, and the contractor must remove existing equipment and either provide a trade-in value or arrange for recycling with appropriate documentation. No substitutions are permitted without written authorization from the buyer. Upon invoice submission to BEPInvoices@dor.ca.gov, invoices must include complete unit descriptions, delivery location numbers, brand, model, serial numbers, and warranty information for parts and labor. Payment will be delayed if required barcodes from removed equipment are not submitted with the invoice. Failure to meet delivery requirements may result in contract termination under the General Terms and Conditions.
