About this file
This is a delivery and installation requirements document for RFQ #03-0813, an informal competitive solicitation issued by the State of California for vending machine services at the Enoch Christofferson Roadside Rest on Highway 99 Southbound in Turlock, California. The solicitation requests one combo frozen food and ice cream vending machine, one hot coffee vending machine, three snack vending machines, and four drink vending machines to be installed at the southbound location. The vending machines will be integrated into the structures at the roadside rest stop as exterior walls. Contractors must schedule delivery and installation a minimum of two weeks in advance and coordinate with BEP Vendor and BEC to verify machine placement, configurations, and security requirements. All equipment must be delivered, set in place, installed according to manufacturer specifications, and fully operational within 35 calendar days after receipt of order (ARO). The installation team must arrive with wooden framing material, steel straps, a complete tool set, and equipment capable of securing the machines to one another and framing them to eliminate gaps.
Contractors must provide a truck equipped with a lift gate and pallet jack for unloading, as no loading dock is available at the location. The bid must include removal and recycling of nine existing vending machines through an approved recycling center, with barcodes and recycling receipts required for payment. All newly manufactured goods must be accompanied by complete invoices detailing each unit's delivery location, brand, model, serial number, and warranty information on parts and labor. Invoices must be signed upon completion of all purchase order requirements, and payment will be delayed if barcodes are not received with the invoice. Contractors must provide training on operational features, coin mechanisms, bill validators, and preventative maintenance. Failure to meet the 35-day delivery requirement may be considered a breach of contract subject to termination, and contractors unable to meet delivery terms must notify BEP within 10 days of receiving the order. All goods furnished must be newly manufactured; used or reconditioned equipment is prohibited.
