About this file
This is a Statement of Work (SOW) for onsite installation and integration of laboratory equipment at Brookhaven National Laboratory's NSLS-II facility.
The vendor shall ship and install a 120-volt temperature-controlled 42-plate hotel compatible with an ArtRobbins CrysCamUV automated plate imager in NSLS-II LOB5 Structural Biology Lab 06 (5LL06). The project supports BNL's Laboratory Directed Research and Development Type A (LDRD Type A) grant to develop an Artificial Intelligence workflow for optimizing crystallization conditions. The temperature-controlled plate hotel is essential for automated imaging of protein crystallization plates, which requires precise temperature control and scheduled monitoring since protein crystals range from below 1 micron to hundreds of microns and grow over periods from hours to weeks. Vendor responsibilities include unpacking equipment at the facility, installing it in the designated bench space adjacent to the CrysCamUV imager (following EEI electrical inspection), performing extended testing, integrating the equipment with the existing CrysCamUV system, and providing comprehensive staff training on standard and advanced system operations. NSLS-II staff will prepare the laboratory space by providing dedicated bench space and electrical outlets, scheduling the required EEI inspection before equipment activation, and transporting equipment from storage to the installation location. No specific response dates, award dates, pricing terms, set-asides, or contract vehicles are identified in this SOW document. The SOW is dated August 5, 2026 and is authored by Jean Jakoncic of Photon Sciences/BEPSD at BNL.

STATEMENT OF WORK
I) Title - Onsite Installation of a temperature controlled 42-plates hotel compatible with the ArtRobbins CrysCamUV at the NSLS-II LOB5 Structural Biology Lab 06 (5LL06), Brookhaven National Laboratory (BNL).
II) Scope – The vendor shall ship the equipment and perform local installation of the 42 plates temperature controlled hotel and integration with the ArtRobins CrysCamUV device, and train staff how to use the device.
III)
a) Background – BNL awarded the NSLS-II BEPSD MX core staff scientist a laboratory directed research and development type A (LDRD Type A) grant to develop an Artificial Intelligence workflow delivering optimal crystallization conditions for two in-demand scientific experimental workflows. To achieve this goal, automated crystallization plates imaging is required and imaging should be performed on schedule. This requires dedicated imaging hardware as well a crystal plate hotel storing plate at a controlled temperature. Protein crystallization requires the knowledge and control many parameters including the temperature and crystallization is a long process that requires monitoring. Since protein crystal size range from below 1 micron to a few 100s microns and crystal growth occur between a few hours and a few weeks it is critical to implement automated imaging using dedicated hardware and software.
We are acquiring the Art Robins CrysCam UV automated plate imager to perform the task and to fully serve as an autonomous sub-task of the entire workflow it must be fitted with a temperature controlled 42 plates hotel delivers to finally perform the complete and automated task of plate imaging at controlled time interval to efficiently detect and track crystals.
b) Objective – The vendor will ship the equipment (120V temperature controlled 42-plates hotel and associated hardware) and come onsite to BNL/NSLS-II, to unpack and install the equipment (temperature controlled plate hotel) and integrate it with the CrysCam UV automated plate imager in LOB5 Lab-06.
IV) Tasks –
a) NSLS-II staff will ensure that 5LL06 lab is ready for the installation by providing dedicated bench space next to the CrysCam UV plate imager to fit the equipment (plate hotel), electrical outlets will be available. NSLS-II staff will schedule the EEI inspection the day of the installation before the equipment is turned on. NSSL-II staff will bring the equipment from a storage area to the 5LL06 lab before unpacking, installation and integration done by the vendor.
b) In an order deemed suitable by the vendor, the vendor will:
o Unpack the equipment in 5LL06 o Install the equipment on the designated area (after EEI inspection) o Perform extended Test of the equipment o Perform integration of the equipment with the CrysCam UV
Attachment 2 o Train staff to perform all standard and advanced tasks of the completed system:
CrysCam UV and temp-controlled automated plate hotel.
Sincerely, Jean Jakoncic
