About this file

This document contains technical specifications for a temperature-controlled 42-plate hotel to be procured by Brookhaven National Laboratory (BNL) for use at the NSLS-II facility. The scope of supply includes shipping, installation, integration, and training of BNL staff for a 42-plate temperature-controlled plate hotel with automated plate transfer and out-of-the-box compatibility with the Art Robbins CrysCam UV imaging system.

The system shall store 42 SBS-format crystallization plates in a compact footprint not exceeding 25 × 40 × 25 inches, with support for multiple plate formats including SBS/ANSI-SLAS standard plates, low-profile SBS plates, Linbro plates, LCP slides without adapters, and user-defined SBS plate geometries. Key operational features include front-door access for manual plate loading and unloading, an integrated barcode reader, automated robotic plate retrieval from a rotary carousel, and automated linear plate transfer to the Art Robbins CrysCam UV imaging station. The temperature control system shall maintain plates within 4°C to 25°C with user-selectable temperature regulation, continuous monitoring and recording, and data accessibility through both the CrysCam UV software and external APIs for archival purposes. The system must provide complete mechanical, electrical, and software compatibility with the Art Robbins CrysCam UV imaging system, requiring no custom adapter plates or mechanical modifications, with full integration for plate inventory, scheduling, imaging workflows, experiment management, and automatic synchronization of plate identification, imaging history, and temperature records with the experiment database. The supplier shall provide complete system documentation, minimum one-year warranty covering parts and labor, software licenses with no recurring subscription or annual maintenance fees, and onsite training covering operation, temperature control functions, plate loading and retrieval, software integration, and routine maintenance and troubleshooting. Installation and integration shall be performed by qualified Art Robbins field engineers or authorized technical personnel, with the integrated system fully operational upon completion within the designated NSLS-II laboratory space.

• Integrated barcode reader.

• Automated robotic plate retrieval from the storage carousel.

Attachment 1

• Automated linear transfer of plates to the Art Robbins CrysCam UV imaging station.

• Rotary carousel with a storage capacity of 42 plates.

Temperature Control The incubator shall maintain protein crystallization plates within a controlled thermal environment during long-term crystallization experiments.

• User-selectable temperature control.

• Stable temperature regulation during long-term operation.

• Temperature monitoring with continuous recording.

• Temperature data accessible through the Art Robbins CrysCam UV software.

• Temperature data archived and/or accessible through an API for external archival.

• Temperature-controlled storage between 4 °C and 25 °C.

• Continuous incubation between scheduled imaging sessions.

• Support for unattended crystal growth monitoring over periods ranging from days to months.

Compatibility with the Art Robbins CrysCam UV The temperature-controlled 42-plate hotel shall be fully compatible with the Art Robbins CrysCam UV imaging system.

Compatibility shall include:

• Mechanical compatibility with the instrument footprint.

• Alignment of the automated plate transfer mechanism with the imaging stage.

• Full access to all 42 plate positions through the CrysCam UV software.

• Complete software integration for plate inventory, scheduling, imaging workflows, and experiment management.

• Access to temperature monitoring and control through the CrysCam UV software.

• Automatic synchronization of plate identification, imaging history, and temperature records with the experiment database.

Documentation, Warranty, and Software

• Complete system documentation, including installation, operation, maintenance, and software manuals.

• Minimum one-year warranty covering parts and labor.

• Software licenses with no recurring subscription or annual software maintenance fees.

Installation and Training The 42-plate temperature-controlled hotel shall be installed and integrated by qualified Art Robbins field engineers or authorized technical personnel.

The supplier shall provide onsite training for BNL personnel covering:

• Operation of the plate hotel.

• Temperature control functions.

• Plate loading and retrieval.
