About this file

This file is an Appendix 10 Configuration Management Database (CMDB) Template for the National Archives and Records Administration (NARA), version 1.3 dated 07/30/24. The template provides a structured framework for documenting detailed technical infrastructure information, including hardware and software asset tracking. The CMDB template requires comprehensive documentation for each system asset, capturing critical details such as hostname, physical location, manufacturer information, serial numbers, IP addresses, NARA asset numbers, installed software, vendor names, version information, operating systems, and infrastructure code repository details.

The template is specifically designed for the Presidential Library Ticketing System project (Solicitation Number: 88310326Q00008), allowing precise tracking and management of IT assets. Each section includes explanatory notes from technical contributors like Andrew V. Trinh and Swapna Challa, providing context for how specific fields should be populated. The template emphasizes unique identifiers, version control, and maintaining a comprehensive inventory of technological components, with optional fields for order and contract numbers that must be marked "N/A" if not applicable.

Name/Hostname

Andrew V Trinh:

The logical name assigned to a server. On the Web, most hosts names are WWW; for example, www.Archives.gov. .ARCHIVES is the host name, and .GOV is the domain name. Location (RM, Rack) Andrew V Trinh:

The location in the Data Center where a rack server is placed. Most server rooms use a "grid" location approach, similar to a latitude and longitude grid approach for locations on Earth. The rack contains multiple mounting slots called bays, each designed to hold a hardware unit secured in place with screws. A rack server has a low-profile enclosure, in contrast to a tower server, which is built into an upright, standalone cabinet. Manfacturer Name Andrew V Trinh:

The legal name for the designer, a manufacturer, or vendor that originated the IT product. Such as HP, Dell, etc. Manufacturer's Serial Number Andrew V Trinh:

A serial number is an unique, identifying number or group of numbers and letters assigned to an individual piece of hardware or software by the manufacturer. Manufacturer's Model Number Andrew V Trinh:

A combination of numbers, letters, and symbols assigned by a manufacturer, or vendor to identify a specific part or item of material. IP Address If any Andrew V Trinh:

An "IP" is an "Internet Protocol" address. IP addresses must be unique. All computers that use the Internet use only these unique IP addresses to talk to each other. Names such as http://www.yahoo.com are just for human convenience and are never used for computer communication. Computers use Domain Name Service (DNS) to turn the names humans understand into IP addresses computers understand. That is, they turn "www.yahoo.com" into "216.109.118.79". When you connect to Yahoo.com, your computer communicates with "216.109.118.79", not "www.yahoo.com". IP addresses are assigned by NARA IT Operations. NARA Asset Number Andrew V Trinh:

An inventory asset tag number is assigned to all NARA computers and devices for the purpose of tracking equipment within the agency. The asset tag number is helpful when you contact the Helpdesk to report a problem with a computer or device. The Asset Number is assigned by the NARA Asset Management Team. Software Installed Andrew V Trinh:
