ANF VTC Installation - Questions from Site Visit 03 Sep 2015
Rev 01 Updated 10 Sep 2015 Supersedes Attachment 05 - RFI
1 Do you have programming code for existing Crestron systems?
The FS has requested the most updated source code for the existing Crestron systems. The FS will issue the source codes to the bidder who is awarded the contract. There should be no need to reprogram any of the existing Crestron systems in the LCR or ATCC.
2 Is there any required Secure network VTC requirements?
The FS network only requires that static IP addresses be entered once the installation is completed. The FS will issue these IP addresses to the bidder who is awarded the contract.
3 Is it possible to use the new C40 systems to handle audio calls, in lieu of using the existing Cisco conference phones?
Yes, with the new C40 systems, audio calls can be implemented in lieu of the conference call phone systems.
4 For the LCR, is the requirement to install wired microphones or wireless? How many are to be installed and can they be wall-mounted?
A wired system to be hung from the ceiling is required at the LCR. The system installer shall install 4 wired microphones from the ceiling (if feasible) at optimum locations. If mount from the ceiling is not feasible, the system installer shall mount the wired devices from the bottom chord at the exposed truss (to be concealed) and shall wire the units back to the adjacent storage room with one wire mold along the north-facing wall. The wire microphones shall be Polycom HDX Ceiling Microphone Arrays or approved equal.
5 For the MCR, we may be able to integrate the existing LCD television (for dual screens) that is wall-mounted. If so, would we be able to integrate it in this proposal?
Upon further investigation, it was discovered the existing LCD television does not have an RS232 control port which would be needed for this integration. As such, the existing television may not be integrated as a dual display. Upon further investigation, it was discovered the existing LCD television does not have an RS232 control port which would be needed for this integration. As such, the existing television may not be integrated as a dual display. Provide and Install 55” or larger, 4K resolution, Samsung or equal with suitable HDMI, RS232 or CEC compatibility, as appropriate, in order to integrate with the C40 system and Crestron controller, with wall mount. The new display shall be wall-mounted to west-facing wall (not on the north-facing wall).

6 Will the FS perform any electrical work needed for this installation?
No, the FS will not provide any electrical work. All electrical work, including any incidental work needed for cabling, wiring and system installation of the new A/V and VTC systems shall be performed by the service installer. This includes cabling and wiring required to connect the cameras at each of the rooms to each of the C40 systems. This also includes but is not limited to work at MCR, behind the new display, at new media center rack/ and at wall plate for wired inputs.
7 For the LCR, the conduit length needed for the front-facing camera is longer than 50-feet which will require an extender. What total length will the camera wiring be required to have in order to reach the C40 system in the adjacent storage room?
For the purposes of installing the front-facing camera on the east-facing wall, the total conduit length to be used is 70-feet from camera to the codec at the storage room rack.
8 For the ATCC, the conduit length needed for the front-facing camera is longer than 50-feet which will require an extender. What total length will the camera wiring be required to have in order to reach the C40 system in the telecommunications room at the Pavilion?
For the purposes of installing the front-facing camera on the south-facing wall, the total conduit length to be used is 100-feet from camera to the codec at the telecommunications room rack. For the purposes of installing the rear-facing camera on the north-facing wall, the total conduit length to be used is 130-feet from camera to the codec at the telecommunications room rack. For the rear-facing camera, the wiring shall be concealed above the bottom chord along the nearest adjacent truss.
9 For the LCR & ATCC rooms, microphones with AEC (acoustic echo canceller) should be used, along with a DSP (digital sound processor) in order to avoid expected issues with secondary noise, feedback and echo. Would there be an OPTION item(s) for this additional device?
See item 14. The Statement of Work is revised to include DSP hardware for both venues. Provide, install and program two DSP systems, suitably sized for the each of the LCR and ATCC. The DSP system at the LCR and ATCC shall be BiAmp AudiaFLEX, Polycom C8, C16, or approved equal. The DSP shall include all necessary phone cards for audio conferencing. For the ATCC, the DSP shall incorporate the existing microphones and any additional AEC microphones that may be required. For the LCR, the DSP shall incorporate the new AEC-capable
Rev 01 Updated 10 Sep 2015 Supersedes Attachment 05 - RFI wired microphone arrays (Polycom HDX Ceiling Microphone Arrays or approved equal) and any future wireless microphones.
10 What are the sizes of the existing conduits in the LCR wall?
The east-facing wall at the LCR currently has three wall-plates. One of the plates has one (1) ½”-diameter conduit while the other two each have two (2) ½”-diameter conduits. Some of the conduits go to the floor box at the center of the room while others go back to the storage room. We will provide the as-built plans that show the conduit configuration from the wall-plate receptacles to the adjacent storage room.
11 What are the sizes of the existing conduits at the ATCC?
Above the south-facing wall at the ATCC, there are a set of conduits that go from the podium area to the telecommunications room at the Pavilion where the rack is wall-mounted. There is one spare ¾” conduit that may be used for wiring needed on this installation. If necessary, additional conduits may be installed adjacent to the existing conduits.
12 For media over VTC (displays for presentation material), will you require us to have the Blu-ray player display as an option for presentations? If so, this may not be done because of copyright issues over VTC.
If copyright issues do not permit protected content to be displayed over VTC systems, we will not require the system installer to include this media as an output for display via VTC presentations. All other media, including computers, laptops, tablets and other devices that do not have similar copyright restrictions will be required to work over VTC displays.
13 For the LCR and MCR, two audio mic arrays may be required at the north- and south-facing walls. Do you still require 4 wire microphones for the LCR?
For the MCR, all that is required is two wire microphone arrays at locations to be determined. For the LCR, 4 wire microphone arrays are required at locations to be determined upon installation. The wire microphones shall be Polycom HDX Ceiling Microphone Arrays or approved equal.
14 For the ATCC, the existing Shure microphones are not AEC and may not work effectively for the VTC with group in the rooms because they are not echo-cancelling. Will you require wired microphones in lieu of a new set of wired microphones?
The existing wired (4) and wireless (5) microphones that are not AEC-capable shall be integrated with the new DSP system. If additional microphone arrays
Rev 01 Updated 10 Sep 2015 Supersedes Attachment 05 - RFI are required, the system installer shall provide new AEC-capable microphones to be integrated with the DSP. New wired array and existing wireless microphones are to be integrated as part of the technical proposal. The wire microphones shall be Polycom HDX Ceiling Microphone Arrays or approved equal.
15 The new Crestron system model number is DMPS3-300-C. The old model number specified for the MCR is no longer available. Will the DPMS3-300 model be acceptable?
Yes, the DMPS3-300-C is acceptable for new MCR Crestron Controller/Switcher.
16 For the LCR, The DMPS3-300-C has 6 Mic Inputs but no AEC Feedback Control for Video Conferencing Mics. Suggest using a smaller DSP.
See response for ITEM 9. The LCR shall have DSPs that are suitably sized for that particular room for as many as 4 wired AEC-capable microphones.
17 For the MCR, will ceiling (wired) microphone arrays be required? Will the existing Cisco conferencing phones still be used?
Yes, two (2) wired microphone arrays from the ceiling shall be provided and installed at the MCR. No DSP shall be required but if possible, the wired microphone arrays shall be AEC-capable. The existing Cisco conferencing phones may still be used, in lieu of the VTC but the C40 system shall perform video and audio calls, just as the other two C40 systems will.
18 For the ATCC, does your existing Crestron touchpad control individual volume for each microphone?
Yes, the existing Crestron touchpad controller has volume functions for all of the wired (4) and wireless (5) microphones. The touchpad controller shall integrate the additional wired microphone array for volume control.
19 For all the rooms, the cameras that we are installing are not a simple Camera Control Extension. There is a special cable with connector and anything over 5M must be powered at the camera. Power at the camera is difficult because of the power supply needed. An option for this is the Sound Control Technologies (SCT) brand power/controller extender and the corresponding PrecisionHD rack.
No, these items will not be required for this solicitation. Please provide technical and pricing proposals for the cameras required and the power necessary to each camera. If necessary, we will look at this issue at each room and discuss any required mitigations on a case by case basis.
Rev 01 Updated 10 Sep 2015 Supersedes Attachment 05 - RFI
20 For the MCR A/V installation, do you require a wall-mounted rack similar to the ones found in the LCR and ATCC or will you accept a smaller console to house the media devices, the VTC C40 systems and all other peripherals that will be connected to the media center?
We will require a similar rack as the other rooms to provide the power and space required for the new media devices. If a similar console can house these units effectively, we may be able to discuss a substitution at a reduced cost once the award is made. For the purposes of this solicitation, please provide a technical and price proposal to include a rack of similar size and technical specifications as the wall-mounted rack in the adjacent storage room for the
LCR.
