ANF VTC Installation - Questions from Site Visit 03 Sep 2015

Attachment 05 - RFI

1 Do you have programming code for existing Crestron systems?

The FS has requested the most updated source code for the existing Crestron systems. The FS will issue the source codes to the bidder who is awarded the contract. There should be no need to reprogram any of the existing Crestron systems.

2 Is there any required Secure network VTC requirements?

The FS network only requires that static IP addresses be entered once the installation is completed. The FS will issue these IP addresses to the bidder who is awarded the contract.

3 Is it possible to use the new C40 systems to handle audio calls, in lieu of using the existing Cisco conference phones?

Yes, with the new C40 systems, audio calls can be implemented in lieu of the conference call phone systems.

4 For the LCR, is the requirement to install wired microphones or wireless?

How many are to be installed and can they be wall-mounted?

A wired system to be hung from the ceiling is required at the LCR. The system installer shall install 4 wired microphones from the ceiling (if feasible) at optimum locations. If mount from the ceiling is not feasible, the system installer shall mount the wired devices from the bottom chord at the exposed truss (to be concealed) and shall wire the units back to the adjacent storage room with one wire mold along the north-facing wall.

5 For the MCR, we may be able to integrate the existing LCD television (for dual screens) that is wall-mounted. If so, would we be able to integrate it in this proposal?

Upon further investigation, it was discovered the existing LCD television does not have an RS232 control port which would be needed for this integration. As such, the existing television may not be integrated as a dual display. Please provide a new LCD monitor to be wall-mounted to the west-facing wall. The revised Statement of Work, dated 08 Sep 2015, has been updated to include the following hardware change: ‘Provide and Install 55” or larger, 4K resolution Samsung or equal with suitable HDMI, RS232 or CEC compatibility, as appropriate, in order to integrate with the C40 system and Crestron controller, with wall mount.’

6 Will the FS perform any electrical work needed for this installation?

No, the FS will not provide any electrical work. All electrical work, including any incidental work needed for wiring and system installation of the new A/V and VTC systems shall be performed by the service installer.

7 For the LCR, the conduit length needed for the front-facing camera is longer than 50-feet which will require an extender. What total length will the camera wiring be required to have in order to reach the C40 system in the adjacent storage room?

For the purposes of installing the front-facing camera on the east-facing wall, the total conduit length to be used is 70-feet from camera to the codec at the storage room rack.

8 For the ATCC, the conduit length needed for the front-facing camera is longer than 50-feet which will require an extender. What total length will the camera wiring be required to have in order to reach the C40 system in the telecommunications room at the Pavilion?

For the purposes of installing the front-facing camera on the south-facing wall, the total conduit length to be used is 100-feet from camera to the codec at the telecommunications room rack. For the purposes of installing the rear-facing camera on the north-facing wall, the total conduit length to be used is 130-feet from camera to the codec at the telecommunications room rack. For the rear-facing camera, the wiring shall be concealed above the bottom chord along the nearest adjacent truss.

9 For the LCR & ATCC rooms, microphones with AEC (audio echo cancellation) should be used, along with a DSP (digital sound processor) in order to avoid expected issues with secondary noise, feedback and echo. Would there be an OPTION item(s) for this additional device?

See item 14. The Statement of Work is revised to include DSP hardware for both venues. This is now required; not optional.

10 What are the sizes of the existing conduits in the LCR wall?

The east-facing wall at the LCR currently has three wall-plates. One of the plates has one (1) ½”-diameter conduit while the other two each have two (2) ½”-diameter conduits. Some of the conduits go to the floor box at the center of the room while others go back to the storage room. We will provide the as-built plans that show the conduit configuration from the wall-plate receptacles to the adjacent storage room.

11 What are the sizes of the existing conduits at the ATCC?

Above the south-facing wall at the ATCC, there are a set of conduits that go from the podium area to the telecommunications room at the Pavilion where the rack is wall-mounted. There is one spare ¾” conduit that may be used for wiring needed on this installation. If necessary, additional conduits may be installed adjacent to the existing conduits.

12 For media over VTC (displays for presentation material), will you require us to have the Blu-ray player display as an option for presentations? If so, this may not be done because of copyright issues over VTC.

If copyright issues do not permit protected content to be displayed over VTC systems, we will not require the system installer to include this media as an output for display via VTC presentations. All other media, including computers, laptops, tablets and other devices that do not have similar copyright restrictions will be required to work over VTC displays.

13 For the LCR and MCR, two audio mic arrays may be required at the north-and south-facing walls. Do you still require 4 wire microphones for the LCR?

For the MCR, all that is required is two wire microphone arrays at locations to be determined. For the LCR, 4 wire microphone arrays are to be required at locations to be determined upon installation.

14 For the ATCC (and the LCR), the existing Shure microphones are not AEC and may not work effectively for the VTC with group in the rooms because they are not echo-cancelling. Will you require wired microphones in lieu of a new set of wired microphones? Based on multiple comments on audio quality versus inadequacy of the existing microphones, the revised Statement of Work, dated 08 Sep 2015, has been updated to include the following hardware change: ’Provide and Install two (2) DSP systems, suitably sized for each venue, in the LCR and the ATCC, PolyCom C8, C12, etc. or equal.’

15 The new Crestron system model number is DPMS3-300. The old model number specified for the MCR is no longer available. Will the DPMS3-300 model be acceptable? Yes, the DPMS3-300 model is acceptable for new Crestron controller at MCR.
