Shortlist Interviews Tabulation Meeting
Meeting Information 3:00 p.m. on May 28, 2025 Facilities Conference Room, 1105 S.W. 7th Road, Ocala, FL 34471
Meeting Minutes I. Roll Call & Opening Remarks
The meeting was called to order at approximately 3:00 p.m. by Nick Hill, JBPro
Procurement Lead for Marion County Public Schools. Roll call was conducted, confirming that all Selection Committee members were present.
At approximately 3:05 p.m., members of the public were invited into the room and asked to sign in.
Mr. Hill mentioned that although this meeting is open to the public, no one outside the
Selection Committee and Procurement Team would be permitted to speak for the duration of this meeting.
Mr. Hill then reminded attendees that this bid is still subject to the cone of silence as detailed in the Cone of Silence Acknowledgement Form.
II. Selection Committee Scoring
At approximately 3:07 p.m., each Selection Committee member read their individual scores aloud for the shortlisted firms. Once all scores were submitted, Kathie Ebaugh, a procurement specialist from JBPro supporting the Marion County Public Schools
Facilities Department, tabulated and announced the final adjusted scores. These were calculated in accordance with the scoring procedures outlined in the 2025 Design
Services RFQ Selection Process Manual.

III. Selection Committee Recommendation
At approximately 3:25 p.m., Mr. Hill invited the Selection Committee to discuss how many firms should be recommended to the School Board for continuing contracts.
Following brief deliberation, Selection Committee member Mr. Donald Tucker moved to recommend the top five ranked firms. The motion was seconded by Selection
Committee member Mr. Stephen Ayers and passed unanimously.
IV. Next Steps
At approximately 3:30 p.m., Mr. Hill informed the Committee that the Facilities
Procurement Team would bring forward the Selection Committee’s recommendation at an upcoming Marion County School Board meeting for formal consideration.
Mr. Hill then adjourned the meeting at 3:32 p.m.
