About this file

This document is an addendum to a Request for Information (RFI) Invitation 2023-402 issued by the State of New Hampshire Division of Procurement and Support Services Bureau of Purchase and Property for Shop Towel and Floor Mat Services. The addendum revises the pricing sheet and provides responses to questions regarding delivery fees, number of locations, replacement costs, contract term length, and service frequency. The RFI has a bid closing date of 1/3/2024 at 11:00 AM. The State currently has approximately 12 locations receiving service and does not charge a delivery fee under the existing contract. Replacement costs for damaged towels are to be included in the pricing, and the State typically enters into 3 or 5-year contract terms. The services are provided weekly but billed on a monthly basis, with a quarter of the monthly quantity used per week.

The addendum provides additional clarity on pricing and service expectations. Respondents are advised that all changes noted in the addendum will supersede previously submitted documents and must be included with the bid submission. Interested parties are directed to the State's vendor resources website for the complete bid documents and any future addendums.

DATE AND TIME OF BID CLOSING: 1/3/2024 11:00 AM

FOR: SHOP TOWEL AND FLOOR MAT SERVICES

“Attachment 1: Pricing Sheet” has been revised to correct a formula error.

Question 1: Is there a delivery charge or charge per stop with your current program?

State Response: There is no delivery fee under the current contract.

Question 2: How many locations will be serviced?

State Response: Approximately 12 locations currently require service.

Question 3: Is there an automatic replacement cost for damaged towels or are all lost, and damage costs included?

State Response: Estimated replacement costs shall be included in the pricing.

Question 4: What is the length of the contract term?

State Response: The information provided in the responses to this Request for Information (RFI) will determine the length of a future contract term. The State most frequently enters into contracts for three or five years.

Question 5: Are the monthly quantities indicative of a “monthly service”? Or are these the monthly totals, but the service is on a weekly basis? Essentially meaning ¼ of the monthly inventory is needed each week.

State Response: The services are provided weekly but billed on a monthly basis. A quarter of the monthly quantity is used per week.
