Addendum 2

JUD–RFP-17-18CT-ADDITION-DOUGLAS COUNTY

And Question and Answers

This bid submission date for this solicitation is hereby changed to Wednesday, September 7th, 2016 at 4:00PM

Q&A:

1. What head count do you want in 913 and 915?

Answer: There will be three work stations in each room 913 and 915.

2. Is there a built in reception per the drawing in rooms 913 and 915??

Answer: There is not a built in reception area. The station nearest the door should be arranged such that it has a counter to serve incoming clients.

3. For the gallery bench would the attached spec work? This is what I have used in the past.

Answer: The Judicial Department doesn’t have a standard specification across all courts for Jury Bench seating. The intent is to have wood bench seating without cushions and have respondents submit their specification, plans and pricing for review. Then the Judicial Department will review and select the response that best meets the needs, price being one of many factors, of the department. The submitted specifications would be considered.

4. Is the jury deliberation room next to 2920? Please see drawing below for reference.

Answer: The Jury deliberation room is being removed from the solicitation.

5. Gallery: We have typically provided solid customer made wood bench seating without cushions. There are many options as to the design of the benches. We will quote the exact same what is currently at Douglas County.

These are not multi-ply wood substrate but solid wood benches.

Answer: This would be considered for review.

6. We did not see a note to provide Judge’s Chamber or Bench seating. Are these to be considered?

Answer: Judge’s chambers are to be included in the response as per Section

3. B. 1. e). These are rooms 2912 and 2920. Bench seating is also to be included in the response as per the published addendum 1.

7. We did not see a note to provide a Court Report or Clerk of the Court seating.

Are these to be considered?

Answer: Task chairs should be provided for the clerk of court seating and for the court reporter.

8. Jury Seating. Do you want full memory return? Would you like to match existing or use a faux leather option?

Answer: Full memory return is not required. Plastic arm with faux leather has been the preference for recent court rooms. Judicial encourages respondents to propose furnishings within the budget that they feel would best meet the needs of the space. Items proposed are taken into consideration when evaluating responses.

9. Counseling tables. Do these need power and data?

Answer: Counsel tables with data and power available are preferred.

10. We do not see a Witness chair on the floor plan. Do you want these quoted to match the Jury seating?

Answer: Yes

11. A Bailiff’s table and chair are noted on the plan. Do you want these added to the bid package?

Answer: The bailiff’s table and chair should not be included in the bid package.

12. Task seating is one of the most important items to purchase. How will these chairs be evaluated?

Answer: Task chairs will be evaluated based per the evaluation criteria in the

RFP. Special emphasis will be placed on proposed task chairs being adjustable to accommodate different staff in an ergonomically correct fashion.

13. What furniture do the Court reporters need in their office?

Answer: The court reporter’s offices should include free standing laminate furniture of an L shape, a minimum of one box, box file and other storage as appropriate. Part of the evaluation of this project is the design capabilities of the respondent’s and proposed furniture layout of the response.

14. Page 7, section 3, B, 1, f. Room number for the deliberation room? There is no deliberation room provided on the CAD drawings.

Answer: See the answer to item 4. Above.

15. Conference rooms: 901, 903, 905 and 907. How many people do we to accommodate? Four per room?

Answer: Yes, four per room.

16. Systems. To be clear, you do not want a power base feed but do want power and data in the panels? Are you planning to “plug” into an outlet? How many duplexes should be planned?

Answer: Power and data will now be provided for the free standing desks under the desks by plugging into the wall jacks. Any systems furnishings also will not need data or power if access to the wall is available under the work surface. If access to the wall is blocked by a panel, then the panel will need to be able to provide the data and power through the panel by plugging into standard 110v power outlets and data sources instead of a pig tail.

17. How many Systems workstations do you need and what sizes along with what storage and tools?

Answer: Areas 913 and 915 should be able to accommodate three workstations each. Space for pens, pencils, minimal files, binders and personal items should be considered when proposing the items included in the space. Part of the evaluation of this project is the design capabilities of the respondent’s and proposed furniture layout of the response.

18. Ergonomic items. Who is to get keyboard trays and dual monitor arm holders? Would it be easier to list them as line items to be ordered and placed as needed?

Answer: It is preferred that ergonomic items be listed as individual line items in the solicitation response and that all work stations include a keyboard tray and monitor arms.

19. Is there a number of workstations, layout and component specifications for the systems’ furniture in areas 913 & 915?

Answer: Please see the answer to question 17 above.

20. Page 7, letter F states “a room number to be provided in amendment” for the Jury deliberation table – can you please include that, or at least include a size of the table needed.

Answer: See the response to number 4. Above, the requirement for a Jury

Deliberation room is removed.

21. Is there a specific Gallery seating vendor you have used in the past, you would like to see quoted for the courtrooms?

Answer: The Judicial Department doesn’t have a standard gallery seating specification or vendor except that the gallery seating should be wood. See response to question 3. Above.

22. Can we provide a panel at 54” high in the workstation systems furniture?

Answer: A submission of a panel 54 high would be considered for evaluation.

23. The storage tower is requested to be in laminate. Can it be steel to match the under counter pedestals?

Answer: Yes

24. During the walk thru Gallery Seating was mentioned as being part of the package, but in Section 1. Opportunity, A. Summary it states the gallery seating will be obtained separately. Will you want this included?

Answer: Please see addendum 1 to the solicitation. Gallery seating is now required.

25. *What are the building and dock restrictions (hours of operation, etc.)?

Answer: Standard hours of operations are from 7-5 Monday through Friday. Before or after hours requests for installation may be requested.

Answer: The dock can handle a 53’ tractor trailer.
