About this file

This Addendum No. 1 to Bid Invitation 163-26 is issued by the State of New Hampshire, Division of Procurement and Support Services, and provides clarifications to the awning supply and installation solicitation for the Epping Liquor Store. The project requires two equal-width retractable awnings to cover a 32-foot-wide area, with the pergola to be removed prior to installation. The bid closing date is May 27, 2026, at 10:00 AM Eastern Time. Critical specification clarifications include: the awning projection must extend further than the initially proposed 11 feet to match or exceed the existing 23-foot pergola extension; a new 120-volt watertight electrical circuit must be installed near the awning cassette rather than utilizing the existing exterior outlet; fabric borders should be straight rather than wavy; and fabric color should be a medium-light tone that reflects heat while resisting visible staining and weathering. All changes noted in this addendum supersede previously submitted documents and must be included with bid submissions, while all other specifications remain valid and unchanged.

Bid pricing must be submitted in U.S. dollars and be inclusive of all delivery, installation, labor, and associated costs with no additional surcharges permitted. Two-phase payment is structured as follows: Phase 1 upon receipt of materials and Phase 2 upon installation completion, with payment due thirty days after invoice receipt or acceptance of goods and services, whichever is later. Delivery and installation must be completed within forty-five business days from contract award, with work restricted to business hours of 9:00 AM to 4:00 PM unless pre-approved otherwise. Vendors must maintain comprehensive general liability insurance coverage of not less than $1,000,000 per occurrence and $2,000,000 aggregate, with a Certificate of Insurance required prior to contract award. All equipment must carry a warranty of not less than one year or the manufacturer's standard period, whichever is greater, covering 100 percent of parts, shipping, labor, and travel. The Purchasing Agent for this procurement is Rhonda Girard, contactable at NH.Purchasing@das.nh.gov.

ADDENDUM # 01 TO BID INVITATION 163-26

DATE AND TIME OF BID CLOSING: 5/27/2026 10:00 AM

FOR: Awnings (Supply and Install)

Question 1: Is the area to be covered above the Pergola?

State Response: No, the Pergola will be removed.

Question 2: The pergola is 32' wide, and the bid calls for 2 awnings. Is the width split in half, resulting in 2 equal-width awnings?

State Response: Yes, two equal awnings are required as they are only built so wide, and the space requires two awnings.

Question 3: There is an electric outlet on the exterior of the building. Is it OK to use that for awning power, or do you need an outlet installed close to the awning cassette?

State Response: Will need a 120v circuit put in and it will need to be watertight wiring.

Question 4: The existing pergola extends 23', and the maximum projection (out from the building) of our awnings is 11'. Is the 11' projection acceptable?

State Response: No, it needs to extend out further.

Question 5: Do you want a straight border on the fabric or a wavy one?

State Response: Straight would be preferable.

Question 6: What color fabric is needed?

State Response: I would think a lighter color to reflect the heat as much as possible, but not too light to show weather and any potential staining.
