About this file
This is an Addendum #01 to RFP 26-003 issued on April 28, 2026, for a Custodial & Maintenance Project by a school district. The addendum modifies several sections of the original RFP specifications and scope of work. Key changes include the removal of after-school and weekend activities frequency data that was previously referenced in Appendix B, and the complete elimination of the Performance Incentive section from the RFP. The scope of work modifications address HVAC maintenance requirements, specifically removing the district's previous requirement that contractors perform annual preventative maintenance on heating boilers and CSD-1 inspections at an estimated cost of $40,000. Additionally, the contractor's responsibility for providing filters for regularly scheduled HVAC filter changes (four times annually) has been eliminated, with the district now agreeing to supply filters directly.
The addendum also adds clarification regarding maintenance work at over 20 closed buildings owned by the district. Contractors may occasionally be required to perform work at these facilities, including boarding up and securing doors during regular hours, with very rare cleanup activities also performed during standard working hours. These modifications represent substantive changes to the contractor's obligations and associated costs under the original RFP, particularly reducing financial responsibility for HVAC maintenance and filter procurement while maintaining potential access to closed facility maintenance as needed.

Addendum #01 RFP 26-003 Custodial & Maintenance
Project: Custodial & Maintenance
The following changes, revisions, modifications, etc. shall be incorporated in to the contract documents, specifications and plans.
Section 11. pg. 13:After School And Weekend Activities
Previous: The average frequency of after school activities is included in appendix B.
Now: This line has been stricken. The data is no longer available in appendix B or any other documents available currently.
Section 32. pg. 20: Performance Incentive
This entire section will be stricken from the RFP.
Section 34. pg.21:Scope of Work
Previous: The heating boilers require annual preventative maintenance procedures to ensure they are properly maintained and operate at their optimal efficiency rating. To perform these tasks safely and properly, the contractor must employ or sub-contract a State licensed HVAC Contractor that has been properly trained and certified to perform these annual maintenance procedures. (See Section 17) In addition to the preventative maintenance, every boiler owned and operated by the district must have an annual CSD-1 inspection performed on them by a licensed contractor to comply with the Code. This cost will be the responsibility of the contractor. The 2025/2026 Boiler PM and CSD-1’s estimated total is approximately $40,000.
Now: This entire paragraph has been stricken from the RFP.
Previous: Contractor will be asked to provide regularly scheduled filter changes four (4) times annually for all district HVAC equipment in use. This cost will be the responsibility of the contractor. The 2024/2025 filter change estimated total is approximately $34,000
Now: Contractor will be asked to provide regularly scheduled filter changes four (4) times annually for all district HVAC equipment in use. The district will provide filters.
Additional Annotations for Maintenance
· Currently the district has over 20 closed buildings. On occasion, maintenance staff may be required to perform work at one of these buildings. Occasional work would include boarding up facilities and securing doors.
· On a very rare occasion clean up at these sites may be required and is performed during regular hours.
