About this file

This is a vendor certification and licensing requirements document issued by the Broward County Finance and Administrative Services Department, Records, Taxes, and Treasury Division in Fort Lauderdale, Florida, for the Document and Records Destruction Services contract. The contract is an open-end/indefinite quantity agreement with an initial term of three years and two optional annual renewals. The scope of services requires the contractor to provide on-site film and document records destruction services for the Broward County Records Center and other county agencies located throughout Broward County. The materials to be destroyed consist primarily of paper-based records including office papers, computer paper, colored paper, glossy paper, file stock, laser print paper, file folders, and envelopes, along with occasional non-paper media such as computer media, tapes, microfilm, and other record retention media. The contractor's shredding equipment must be capable of destroying documents containing staples, paperclips, binder clips, and similar fasteners.

The critical requirement for qualification is that contractors must obtain and maintain National Association for Information Destruction, Inc. (NAID) AAA certification throughout the contract term. NAID certified companies operate under strict codes of standards and ethics with annual and random audits conducted by security professionals holding Certified Protection Professional accreditation through the American Society for Industrial Security. Proof of certification must be submitted with the bid submission; however, if not initially provided, proof must be furnished within three business days of request by the Purchasing Agent, with failure to provide timely certification documentation resulting in deemed non-responsiveness.
