About this file

This is a Requests for Approved Equals form for Broward County, Florida's Document and Records Destruction Services solicitation. The form provides vendors with a standardized template to submit requests for approved equal status when proposed products do not exactly match the specifications outlined in the solicitation. Vendors must submit the completed form via email to the Purchasing Agent by the deadline specified in the Special Instructions to Vendors section, along with relevant product literature demonstrating compliance with all solicitation requirements. The County will issue its determination regarding approved equal requests by addendum. The underlying solicitation is for an open-end, indefinite quantity contract for secure on-site film and document records destruction services to support Broward County's Records, Taxes, and Treasury Division Records Center and other County agencies located throughout the county. The Contractor must maintain NAID AAA Certification throughout the contract term and possess shredding equipment capable of destroying documents with fasteners and various non-paper media including computer media, tapes, and microfilm. The contract has an initial term of three years with two annual renewal options.

The Requests for Approved Equals form requires vendors to provide comprehensive information including vendor name, contact details, solicitation number and title, the specific specification requirement being addressed, and detailed descriptions of the proposed manufacturer, model number, and product. Vendors must indicate whether product literature is attached to support their request. The County is not obligated to review incomplete submissions. Broward County will respond to each request by marking it as either Approved or Not Approved and providing reasons for its determination. The form was dated September 9, 2024, and serves as the official mechanism for vendors to seek equivalency determinations outside the standard electronic bidding system.
