About this file

This document is a Sample Task Order Template for the Incorporated County of Los Alamos, New Mexico, designed for use under on-call contracts for services such as concrete and paving work. The template establishes the framework for issuing individual task orders throughout a contract period on an as-needed basis. Each task order includes standard fields for project description, cost coding, project manager assignment, scope of work, deliverables, and commencement and delivery dates. The template accommodates estimated total pricing with provisions for Gross Receipts Tax (GRT) calculations and tracks the cumulative value of all task orders issued under the master agreement. Work commences upon issuance of a Notice to Proceed, with requested delivery dates specified by the County Project Manager at the time of task order issuance.

Payment and Performance Bonds are required for construction task orders exceeding $25,000, with bonds covering one hundred percent of the task order price. Task orders exceeding the state prevailing wage threshold are subject to a Wage Decision obtained by the County, and contractors must comply with prevailing wage requirements. Signature authority for task order approval is tiered by amount: the DPU Deputy Manager or Manager may sign for amounts up to $50,000; the Utilities Manager must sign for amounts over $50,000; Board of Public Utilities approval is required for amounts over $100,000; and County Council approval is required for amounts exceeding $300,000. The template includes provisions for Task Order Revisions to address changes in scope, budget, or schedule, all of which require advance approval by the Contract Manager. Any price or time adjustments in a Task Order Revision constitute full compensation and waive the contractor's right to file claims related to that revision.
