1. Questions related to the ULT freezers:
a. Can the ULT models and age be provided?
1. RESPONSE: See table below:
b. Are the power requirements of the ULT’s 110 or 220 volts?
1. RESPONSE: Most require power supply of 208-230V.
c. Are the service records of the ULT’s available, such as last date of preventative maintenance?
1. RESPONSE: Yes. Service records would be made available to the Awardee.
d. What are the operating limits required for the ULT’s?
1. RESPONSE: Freezers shall be maintained below -70C.
e. Confirm that the location of the ULT’s is Hyattsville, MD.

f. Does the current location of the ULT have a tailgate or dock for loading?

RESPONSE: Line item pricing shall only be provided for the line items contained in the solicitation. Offerors should ensure that all pricing associated with each line item contains the complete work effort required for that line item.
3. What is the current LIMS being used for sample inventory management?
RESPONSE: The data should be maintained in an electronic format.
4. What are the criteria levels that trigger sample consolidation? For example, in an 81x81 format, would ≥50% available space trigger sample consolidation?
RESPONSE: The decision to consolidate samples is typically driven by the need to create additional storage space in freezers to accommodate incoming shipments of vials. Specific criteria, such as a threshold of available space (e.g., ≥50% in an 81x81 format), may vary depending on operational requirements and freezer capacity management strategies.
5. What is the timeline of the initial shipment of 500,000 samples (17 ULT freezers)? Would multiple shipments/relocations need to be within a specified timeframe?
RESPONSE: Shipment shall be completed by no later than March 14, 2025.
6. Are you considering sending samples in liquid nitrogen (LN2) and/or store in LN2? This is noted in Task 4 and Tasks 5-10, but not noted in service requirements.
RESPONSE: Samples are currently stored in nineteen (19) ultra-low temperature freezers. The government intends to use these until replacement is required. Future freezer purchases could be considered as ultra-low temperature or liquid nitrogen (LN2) dependent upon cost.
7. The RFP contemplates transferring 19 government owners freezers with samples inside to the performer. Will you please provide the make, model, and age of each of these freezers to estimate costs of electricity consumption? If this is not possible for all freezers, please provide more information on at least a subset.

8. How does CDC envision initial data transfer? Will records be provided in an electronic format?
RESPONSE: Records of vial numbers and location would be provided in electronic format initially.
9. Does CDC desire a web / electronic portal for request submission of ongoing incoming samples or outbound sample shipment?
RESPONSE: Offers may propose web / electronic portal or other cost-effective strategies to manage requests for incoming samples or outbound sample shipments.
10. Will the performer be receiving or required to store any protected heath information (PHI), any personally identifiable information (PII), or otherwise confidential information?
RESPONSE: There is no personally identifiable information (PII). However, confidentiality laws, as stated in the Statement of Work, apply. Records may include confidential information, such as date of specimen collection and sample identifiers.
