About this file
This is a Questions and Answers (Q&A) document for the Event Planner Services solicitation for a Health Promotion & Wellness Conference conducted by the Navajo Area Indian Health Service (NAO). The document clarifies solicitation requirements and pricing parameters across 28 questions spanning conference scope, staffing, logistics, and budget constraints.
The conference will be a one-day in-person event with anticipated start date to be determined later, accommodating approximately 200 participants with 10 speakers (including 2 plenary speakers) requiring contractor-funded travel, for a total of 12 speakers. The contractor must secure the conference venue and dates within 60 days of award and provide four qualified on-site staff members, with any additional personnel absorbed at contractor expense. Direct labor is budgeted at 240 hours (adjustable within contract limits), IT support services at one to two individuals not to exceed $4,000, and total contract value not to exceed $100,000. Additional requirements include providing promotional items (not to exceed $10,355), printing 200 conference programs with Section 508 compliance if distributed electronically, coordinating health education (non-commercial) booths with tables and chairs, ensuring speaker presentations are Section 508 compliant, and supporting a hybrid capability for remote presenters (not full live-streaming). Hybrid audio-visual infrastructure should be budgeted only to facilitate select remote presentations into the live room. The contractor may use vFairs as the preferred conference registration platform or propose an alternative, and pricing should incorporate current federal per diem and mileage rates for the selected conference location. The contractor will coordinate with the IHS Clinical Support Center regarding continuing education accreditation requirements and maintain registration platform capacity for approximately 200 participants with flexibility to accommodate additional attendees if budget permits.
