About this file

This is a Questions and Answers document and equipment reference guide for an HVAC maintenance and service contract.

The contract covers nine HVAC units distributed across the 8th and 5th floors of a facility. The 8th floor contains seven units: two large units (Liebert DCDF205-A and Vertiv MCS056E8AD09UW) in the command center (Room 874), two mini-splits in the server and storage rooms (same models, Room 874), a York YCJD30S41S1A ceiling unit in the command security office cubicle space (Room 834), an NCP unit with illegible model number in the vault-style door room (Room 83), and a Rheem 13AJM36A01 ceiling unit in the SCIF conference room (Room 817). The 5th floor contains two units: a Liebert MCS056E8ADC971 (consisting of two units in one) in the main server room (Room 532) and an Air-Con ACZEM4H4R24 mini-split in the training classroom (Room 524). The contract includes two Liebert/CRAC units.

The monthly SMA fee covers filters, refrigerant level checks, minor parts, adjustments, calibration, and cleaning to ensure optimal AC performance, with major repairs and replacements excluded. Refrigerant is billed separately. Repairs beyond preventive maintenance are billed separately on a time and materials basis for both emergency and non-emergency situations; emergency calls cover only the service call, with repair parts and labor billed separately. Preventive maintenance calls are rare due to daily building maintenance. Vendors will have guaranteed roof access with water hose availability and will not work alone.

Question and Answers:

- Are any Lienert/CRAC units included? 2 Lienert

- Roof Access Requirements- Vendors will not be walking around alone, so access to the roof will always be available. There is a water hose on the roof that they can use if needed

- Refrigerant to be included in the package or billed separately?- refrigerant should be billed separately. Checking the levels should be included.

- Repairs beyond PM are time & materials? Repairs in PM are also billed separately. The call is included but parts and labor for emergency situations are billed separately. PM calls are very rare since we the building maintenance is daily.

- Emergency calls labor only? Or labor + Material? Emergency calls are just for the call any repair would be billed separately.

- Filters, refrigerant, other minor small parts/items & adjustment/calibration/cleaning to effect & ensure optimum AC units’ performance should be included with the monthly SMA fee. The only thing NOT included are major repairs and replacement.
