The college solicited bids to acquire a comprehensive POS system for its culinary cafe, designed to efficiently process food orders for students, faculty, and staff. The procurement involved a single proposal received from Toast, which was evaluated by a three-member committee using a scoring matrix across four key criteria: functionality (40 points), project management/support (25 points), references (5 points), and proposed fee (30 points). The evaluation process followed Part 7 of the Utah Procurement Code, with a representative from College Purchasing ensuring procedural compliance.
The total three-year cost for the Toast POS system was $20,812.25, broken down into one-time hardware/implementation costs of $1,012.25 and annual software/support fees of $6,600 for years one through three. The evaluation committee's scoring demonstrated strong support for the Toast solution, with total scores ranging from 26 to 40 points in functionality, 14 to 25 points in project management/support, and 0 to 5 points for references. The final total score was 264 points, leading to the determination that Toast would be able to meet the college's needs effectively. The award justification document indicates that Toast was selected as the preferred vendor based on their comprehensive proposal and alignment with the college's requirements.
