The services encompass still photography, videography, mini-episode production, and related content creation featuring candid leisure activities, outdoor pursuits, business travel, venues, and special events throughout Marion County. Deliverables include a minimum of 600 high-resolution photographs per project (including at least 10 brand images) and HD video content in 4K resolution with specific technical requirements including 24fps frame rates, LOG format, 3-point lighting capability, drone footage, professional audio recording for up to four individuals, and social media-optimized content in 9:16 aspect ratio. All content must be edited and delivered within 14 days of completion, with occasional 5-day turnarounds required. The initial contract term is one year with two one-year renewal options. Task orders will be issued on an as-needed basis with no guaranteed minimum work volume, and projects are considered complete upon delivery of all scope deliverables.
All photographs and videos become the exclusive property of the Ocala/Marion County Visitors and Convention Bureau upon completion, with the County retaining full usage rights and the ability to alter content as needed. The County has established a fixed fee schedule that governs all work, and vendors must acknowledge acceptance of these published rates in their proposals; alternative pricing structures will not be considered. Payment is made upon completion of work and delivery of final products, including dual master copies on approved external hard drives or flash drives in both JPG and RAW file formats. Agencies must provide their own photography and videography equipment, obtain necessary licenses and permits for drone operations, and demonstrate the capacity to handle pre-production scheduling, site walkthroughs, color correction, and delivery of organized project files. The selected vendor will not receive credit or watermark rights on final images but may use captured content for demonstration purposes only. Candidates should submit portfolios demonstrating professional visual storytelling capabilities with preference given to those with candid, brand, and event photography experience and established relationships with media outlets.
