About this file
This is an Instructions to Appendix document for RFP 27-02 issued by the Board of Public Education for the City of Savannah and the County of Chatham, Georgia, for Library Media Books/Materials and Support Services under an annual contract. The solicitation requests vendors to provide fully cataloged library materials including nonfiction, fiction, reference, bibliography, e-books, DVDs, and audiobooks that comply with specific cataloging and processing specifications. Vendors must demonstrate experience with K-12 library automation systems, specifically Follett Destiny, and provide a minimum of three references from similarly sized school districts. The proposal must be submitted in a prescribed format with tabbed sections covering introduction, ability to meet scope of services, references, and pricing, with all sample catalog records provided in full US MARC format following the district's cataloging specifications outlined in Appendix 1.
The district requires vendors to provide test login credentials for evaluation team members to access systems for sample order development and material availability assessment, with notification of any associated access costs required upfront. Proposals must be held valid for 120 days, and vendors must guarantee defective materials for lifetime free replacement including original bar codes. All core collection materials must be delivered boxed in call number order with inside delivery to media centers, vendor unboxing, shelving, and removal of packaging. Materials must meet library-bound quality standards with Mylar dust jackets, spine labels, and bar code labels using Code-39 symbology compatible with Follett Destiny systems, with circulation records provided in full or CIP cataloging format transitioning to RDA once the district implements that standard.
