About this file

This is a specification document for Bid 4045 issued by Hudson Valley Community College (HVCC), a SUNY institution located in Troy, New York, seeking bids for custodial supplies. HVCC is soliciting pricing for ten categories of concentrated cleaning solutions and related custodial products, including multi-purpose cleaners, floor strippers, disinfectants, neutral floor cleaners, glass cleaners, power cleaners, spray buff products, and sanitizers with specific certifications and performance requirements. The college will order items on an as-needed basis rather than in predetermined quantities. Bids must be submitted through the online Bonfire application system at https://hvcc.bonfirehub.com/ no later than the published submission deadline, with the college strongly encouraging vendors to submit several days prior to avoid technical difficulties. The contract is a one-year term beginning September 1, 2026, and ending August 31, 2027, with awards made on a line-item basis to the lowest responsible bidder for each product category.

All pricing must be submitted on a provided Excel spreadsheet and quoted FOB destination with pricing held constant for the contract duration or with specified periods of applicability clearly noted. Vendors are required to submit product samples, informational brochures, and Material Safety Data Sheets (MSDS) for all products, ensuring that items meet exact certifications, sizes, and specifications detailed in the document or they will not be considered. Pricing must be equal to or lower than any cooperative or state contract pricing the vendor may have available. The successful vendor must complete and sign HVCC's Service and Supply Agreement and cannot enter into subcontracts without prior written approval. Bids may be submitted online, mailed, or hand-delivered to the Director of Procurement at the Administration Building in Troy, with contact information provided for both the facilities office and the Bonfire application support team.
